TITLE: Student Information Services Coordinator
REPORTS TO: Superintendent or Designee


POSITION SUMMARY
This position provides administrative and technical support for the Districts Student
Information System (SIS) including WESPaC and related applications. The SIS Coordinator
is responsible for maintaining enhancing and supporting the stability and functionality of
the Student Information System and associated processes. This position also supports the
collection management tracking and reporting of student data across the District
including the preparation and submission of required reports to the State of Washington and
other regulatory agencies. The role requires a high degree of accuracy organization and
problem-solving skills in the areas of research planning implementation troubleshooting
evaluation and ongoing monitoring related to the Districts student information and
technology systems procedures and compliance requirements.

PREFERRED QUALIFICATIONS
Education and Experience:
* Bachelors degree in Business or Educational Administration (or equivalent).
Equivalent experience may be considered.
* Minimum of five (5) years of successful experience in public schools student
information systems and/or database management desired.
* Leadership qualities that demonstrate an ability to be innovative develop and
maintain trusting relationships and model integrity
* Ability to troubleshoot and provide support to building administrators in using
technology to assist in making decisions related to all aspects of student learning and
the efficient use of time and resources
* Ability to establish effective working relationships
Special Requirements
* Successful Washington State Patrol and Federal Bureau of Investigation fingerprint
clearance
* I-9 employment eligibility in compliance with the Immigration Reform and Control
Act
* HIV/HBV training (obtain within 60 days of hire date District provided)
* Human Resources new hire training (obtain within 60 days of hire date District
provided)


Knowledge:
* Public schools their staff and students and programs to promote academic and

* A variety of word processing and software application programs including proficiency
with the Microsoft Office suite and presentation software such as Microsoft
PowerPoint and Microsoft-compatible database management programs such as
Access.

POSITION ADMINISTRATION
This list of position responsibilities is not exhaustive and may be supplemented as necessary.
* Consults with and advises building and District administrative staff regarding the
effective use of the Student Information System (SIS) and related applications and
assists with the resolution of software issues
* Coordinates WSIPC/Skyward services and the EDS system for the District including
serving as personnel utilizing the Skyward student system
* Maintain and monitor district data security for the Educational Data System (EDS)
and the Skyward system
* Manage and maintain CEDARS data collection and reporting
* Serves as the primary district support contact for SIS-related troubleshooting and
vendor coordination
* Assists with the implementation testing and maintenance of system updates
enhancements and related processes
* Coordinate and verify the collection of the P223 Monthly Enrollment data from all
schools and enrollment data from the Districts Alternative Learning Education
program transmit the P223 report to OSPI and provide documentation for the
annual Audit. Submit K-3 Class Reports to OSPI.
* Report District CRDC (Civil Rights Data Collection) information biannually working
collaboratively with Human Resources and Special Services.
* Manage the data input and submission for the Districts annual P210 report. Provides
reports to District staff drawing from student and program information reported on
the P210 report.
* Assists and directs the District staff in setting up and troubleshooting the SIS related
to mandatory reporting to the Office of the Superintendent of Public Instruction and
other agencies
* Work with program directors and administration to ensure program compliance and
data accuracy for 504 accommodations health attendance assessment food
service transportation special education transcripts scheduling grading and
discipline
* Assist in assigned activities related to student enrollment procedures pre-
enrollments student attendance categories transcripts and/or program
components including but not limited to compliance critical timeliness student
dropouts and graduation rates for the purpose of ensuring compliance with legal
and/or administrative requirements
* Ensures that student information in the Skyward system is accurate
* Monitor and support accurate student enrollment and withdrawal processing
throughout the District
* Maintain and monitor consistent student address information within Skyward
* Provide appropriate access to the Health Module in Skyward for the appropriate
District staff. Coordinate module updates and provide support for the Districts
Health Module pages.
* Perform year-end roll-up of student data for all schools in the District. Provide
beginning-of-the-year and year-end instructions to all buildings to ensure essential
tasks and processes are completed. Create and manage student calendars within
Skyward.
* Complete requests for statistical or informative data/surveys that can be assembled
for records prepare and observe deadlines. Provides various student profile reports
as requested and/or necessary.
* Distribute necessary information from NWRDC or WSIPC to all District users
* Develops SIS related training materials for staff and provides training as requested
* Troubleshoots and resolves SIS application software problems by evaluating the
users description of problems asking pertinent questions duplicating the situation
testing the application gathering documentation and consulting with other technical
resources as needed
* Support district assessment systems to include state testing district assessments
and other student achievement data as requested
* Provide technical expertise in extracting student data from district-wide student
information systems including troubleshooting
* Participates in regional user groups and training opportunities to remain current on
SIS updates and best practices
* Effectively uses software tools to produce ad-hoc or custom reports for management
information testing and data control purposes
* Documents reports and monitors unresolved problems and works collaboratively
with software vendors and staff in resolving problems
* Provides input and recommendations regarding technology and software support
needs
* Coordinates the implementation and configuration of software tools and processes
that support District operations
* Oversee student transfer process
* Track Minimum Basic Education Requirements
* Oversee and ensure proper maintenance of Secure Student Identifier (SSID) and
Core Student Record System (CSRS) with OSPI
* Performs related duties as assigned and consistent with the job description and
employee assignment

EMPLOYMENT CONDITIONS
This position is part of the Non-Represented Professional Technical group. The position will
work 8.0 hours a day 260 days a year schedule. Salary and benefits as determined by the
current salary schedule. Employee is required to complete all mandatory district trainings by
the specified deadlines.


EVALUATION PROCEDURES
Performance shall be evaluated annually according to Board and administrative policies and
procedures.
