Job Description & Responsibilities
Set up new vendors in the accounting system obtain and store W-9s and assist in processing 1099s at year-end.
Process firm and client vendor invoices obtaining approvals tracking due dates and initiating payments as appropriate and recording in the accounting system.
Process client and firm expense report reimbursements for payment in accordance with firm policy.
Process pass-through expense reports in accordance with firm practices.
Record client reimbursable expenses in the billing system.
Record client receipts for invoices and trust accounts in the billing system daily.
Prepare and distribute receipts reports bi-weekly.
Prepare and make deposits to the Firms bank accounts.
Record routine journal entries in the accounting system.
Assist with preparation of schedules for tax returns and other filings.
Monitor the Accounting e-mailbox and respond to internal queries and client and vendor queries on a timely basis
Assist attorneys legal assistants and staff with accounting procedures and other requests
Report to firms Controller and work with firm management partners and other lawyers on accounting tasks as described above.
Communicate with management partners and other firm lawyers as well as clients and potential clients in a courteous timely and professional manner.
Assist with the preparation of monthly billing invoices as assigned.
Other tasks as assigned.
Job Qualifications
High School Education (some college course work preferred)
Previous law firm accounting or professional services firm experience (at least 1-3 years prior relevant experience is preferred).
Prior experience with and knowledge of QuickBooks Online (QBO) and Clio is preferred.
Tech-savvy with the ability to learn new software quickly.
Intermediate skill level with Excel with Advanced level preferred (Pivot Tables VLookups)
Superior attention to detail and ability to exercise good judgment.
Ability to work under pressure and meet tight deadlines.
Excellent writing and communication skills.
Detail-oriented and highly organized able to prioritize and manage multiple responsibilities.
High level of responsibility and initiative required.
Strong and effective team player in working with firm management partners other lawyers and staff.
Wage and Benefits
Base salary $60000 to $75000 commensurate with qualifications and experience. Benefits include Paid Time Offhealth insurance optional dental and vision insurance coverage of commuting expenses in the DC metro area (bus or metro some restrictions apply) 401k plan with firm contributions once eligible and fitness center in building.
