Position Overview
The Service Administrator is a versatile detail-oriented team member who keeps the Commercial Service Plumbing Division running smoothly. This role supports the entire service department stepping in wherever needed to ensure nothing falls through the cracks. From permitting and materials ordering to customer calls billing assistance and work order review this person is a dependable problem-solver who uses good judgment not just checklists. You will work closely with service coordinators field technicians project managers and company leadership daily.

Primary Responsibilities
  • Answer inbound customer calls professionally provide status updates and follow up on open items and pending approvals
  • Review completed and in-progress work orders for accuracy verifying labor hours materials job notes and technician sign-offs before orders are closed
  • Prepare and submit permit applications to local municipalities; track status coordinate inspections and maintain permit logs through job completion
  • Process material and supply requests; place purchase orders with vendors confirm pricing and delivery timelines and coordinate job site deliveries
  • Support billing and invoicing by compiling job information coordinating with accounting and tracking outstanding items
  • Monitor open work orders and service tickets to identify and resolve items at risk of falling through the cracks
  • Maintain organized records logs and files to support department accountability and efficiency
  • Identify process gaps and proactively communicate them to leadership
  • Perform other duties as assigned to support overall department and company success
Work Schedule & Environment
Office-based Monday through Friday 7:00 AM3:30 PM. Occasional extended hours may be required during peak service periods we will always give you as much notice as possible. This is a highly collaborative role with daily interaction across field technicians coordinators managers customers and vendors. No two days look exactly the same.

Proficiencies & Qualifications
  • 24 years of administrative or operations experience ideally in trades construction or service industry
  • Microsoft Office Suite (Outlook Word Excel)
  • Strong verbal and written communication skills comfortable with customers vendors and inspectors
  • A fill-the-gap mindset able to identify what needs to be done and take ownership without waiting to be told
  • Sage Field Operations experience a plus we will train the right candidate
  • Prior experience with permitting billing support or job cost tracking preferred
