Who Are We Looking For
The Program Management team exists to drive tactical efficiency while always keeping the big picture in mind. Members of the Program Management team are the connective tissue between the client-facing front end and the operational backend. We use data to identify the initiatives that will have the largest impacts and manage our roadmap accordingly. We strive to ensure that Vestwells operational teams have the tools they need to provide an exceptional experience for partners and clients while working within optimized repeatable processes that create scalable and predictable timelines. When were successful it allows for proper expectation setting for our clients and reliable revenue recognition for the business.
What Will You Be Doing
- Partner with stakeholders across business units (ex: sales finance service compliance) to analyze and document how new products and opportunities will impact operational processes and the systems involved.
- Take that analysis and turn it into actionable requirements that can be handed over to the teams tasked with building and/or implementation.
- Assist in the managing and updating of a long-term solution roadmap and contributing to prioritization of the initiatives on the roadmap.
- Evaluate analyze and communicate system requirements on a continuing basis and maintain systems processes as updates are made.
- Author and update internal and external documentation and formally initiate and deliver requirements and documentation.
- Leverage data and reporting to identify trends inefficiencies and prioritization.
Requirements
The Necessities
- Strong written/oral communication and organization skills
- Drive to lift up team members through collaboration training and coordination
- Love of learning and growth to continue to level-up technical and softer skills
- Stakeholder Management: Collaborate with stakeholders to gather project requirements and provide teams with required input for implementation
- Demonstrated abilities to balance own workload with team needs; as well as to speak up and work with managers to prioritize projects when needed
- The ability to dig deep into the details of one product or process while keeping the big picture in mind
- Continued growth in industry and regulatory knowledge to support prioritization efforts (balancing efficiency with regulatory requirements)
- Proficiency with process documentation and workflow mapping
- Experience in the retirement financial services or employee benefit industries
The Extras
- Understanding of the retirement and employee benefit industry
- Extensive knowledge of ERISA rules and requirements
- Familiarity with contracting agreements and DocuSign
- Prior experience working in an agile or scrum framework
This role will be based in either the New York City Austin or Scottsdale office and will be part of Vestwells hybrid in-office operation.
The expected base salary range for this position is $115K - $125K base. This position is eligible to participate in the Company Bonus Pool and is eligible to receive new hire equity in the Company. Please note that salary bands are based on NY and other similar metro areas and may differ based on where the role is ultimately hired.

OUR PROCESS
Our interview process starts the same for every candidate with 1-2 introductory conversations to learn more about your background interests and what youre looking for while also giving you the opportunity to learn more about Vestwell and the team. From there the process varies by role but typically includes a skills or experience-based assessment such as a coding interview portfolio review or deeper discussion of your relevant experience. Successful candidates then move on to a virtual or in-person interview panel. Before extending an offer we complete a reference check with a current or former manager and a peer. Throughout the process we prioritize transparency clear communication and minimizing surprises.
