By providing hands-on training and career preparation we not only help our students discover new passions we help ensure each Davies graduate has the academic background and technical skills needed for future is now hiring an Associate School Business Administrator!As a State of Rhode Island employee you would be offered an array of benefits including benefits (medical dental & vision) life insurance personal time sick time deferred compensation legal coverage hold or be eligible for a RI School Business Administrator certification Demonstrated knowledge of school budgeting purchasing & procurements salary and benefits costing and preparation of varied financial reportsEssential Duties and Responsibilities (other duties may be assigned)Support the Assistant Director with budget preparation for state local categorical capital and grants funding sourcesPrepare and provide financial data summaries in support of the preparation of budget status updates and projections (quarterly annually intermittent) as required or upon requestSupervise the main office/central office business office Process purchase requisitions required to generate purchase the expenditure coding for financial transactions to ensure accurate capture of expenditures by funding source line item and departmentPrepare adjusting journal entries necessary for accurate general ledger recording of all financial transactionsOversee Federal entitlement grants application processes and provide support as needed for grants financial reporting (Title I Title II IDEA Title IV Perkins as well as categorical and other grants)Supervise and provide support for the payroll preparation for bi-weekly payments of wages stipends clubs extra-curricular and all other wage typesGenerate required Uniform Chart of Accounts (UCOA) reporting fileFulfill the R.I.D.E. School Food Director role in addition to preparing Federal reimbursement claiming for the student meals programs under the policies rules and regulations governing National School Breakfast Lunch and Child and Adult Care Food Program (CACFP) Oversee the administration of the Student Activities Fund ensuring that all deposits and expenditures are properly recorded and that monthly bank reconciliations are performedPrepare annual applications necessary for the maintenance and renewal of the schools insurance policy coverages including obtaining a Student Accident Insurance carrierCoordinate the records retention processes on an annual basis in accordance with State of RI records retention policiesSupervise the creation of spend authorizations and travel expense reportsFulfill all other related duties as assignedSkills RequiredProficiency in Microsoft Office Suite the Internet Google Docs and GmailProficiency in or ability to become proficient in: Accelegrants ERP/Workday BFM budget management system and other systems as may be implemented by the State for its agenciesStrong verbal and written communications skillsDemonstrated ability to support lead and guide staff members Embrace and demonstrate collaboration and teamworkMeet deadlines involving multiple concurrent tasks within time constraintsMust possess the ability and desire to be directly involved in a varied wide range of duties involved in main office/central office operationsPhysical DemandsWork EnvironmentThe work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in this environment may be loud depending upon the activity level during the day and the locationEducation and Experience RequirementsMinimum requirement: Bachelors Degree in Business Administration with a concentration in accounting or finance or a substantially similar degree to be deemed qualified to obtain a RI Department of Education issued School Business Administrator certificationMinimum of five (5) years experience in managerial and supervisory roles (preferred) directly related to purchasing and procurements budget creation general ledger accounting and recording financial reporting as well as overall main office & central office duties within a school environmentPossession of any combination of education and experience that shall be substantially equivalent to the above education and experienceTerms of EmploymentCompensation is annual salary and is a required 12-month employment position.
