Role Overview
The Sales Operations Coordinator is responsible for the execution and management of the Reformed Pilates sales funnel across an assigned portfolio of studio locations. This role owns lead response appointment scheduling CRM accuracy show-rate support and enrollment follow-upensuring every lead receives a timely thoughtful and consistent experience.
This is an execution-focused role that plays a critical part in supporting membership growth and studio performance. The Sales Operations Coordinator works in partnership with the Sales Operations Lead with each team member managing a designated studio portfolio while maintaining ownership of their assigned leads throughout the entire enrollment journey.
Lead ownership follows a first-contact rule: whichever team member first engages a lead retains ownership of that lead through the full sales funnel regardless of which studio the client ultimately visits.
What Youll Do
Sales Funnel Execution & Enrollment Support
- Manage all stages of the LAS(E) sales funnel across assigned studio locations
- Respond promptly to all inbound leads
- Warm leads and schedule studio visits consultations and introductory experiences
- Send appointment confirmations and reminders to maximize show rates
- Follow up with prospective members who have not yet enrolled
- Maintain ownership of assigned leads throughout the entire enrollment journey
- Ensure consistent execution of the Reformed Pilates sales process
CRM & Data Management
- Maintain accurate and up-to-date lead records within the CRM
- Log all outreach activity lead status updates and enrollment outcomes
- Ensure CRM data remains clean organized and actionable
- Identify and escalate data inconsistencies or system issues when needed
Studio & Team Partnership
- Partner closely with studio teams to support enrollment opportunities
- Communicate proactively regarding scheduled consultations and upcoming studio visits
- Support membership growth initiatives across assigned studio locations
- Serve as a resource to studio teams regarding lead management and sales process execution
Brand Experience & Process Standards
- Execute the Reformed Pilates sales process in a welcoming consultative and client-centered manner
- Uphold company response-time standards and follow-up expectations
- Deliver a high-touch experience that reflects the Reformed Pilates brand
- Maintain professionalism and consistency across all client interactions
What You Bring
Required Qualifications
- At least 2 years of previous experience in sales hospitality customer service or client experience
- Strong communication and relationship-building skills
- Highly organized with strong attention to detail
- Ability to manage multiple priorities and deadlines simultaneously
- Comfortable working within CRM systems and technology platforms
- Strong follow-through and accountability
- Ability to work independently while collaborating effectively with cross-functional teams
Preferred Qualifications
- Experience in boutique fitness wellness hospitality or membership-based businesses
- Familiarity with Mariana Tek HubSpot Salesforce or similar CRM platforms
- Experience supporting multi-location operations

Studio Assignment
The Sales Operations Coordinator will initially support:
- All Texas studio locations
- Any studio within its first 12 months of operation company-wide
Studio assignments may evolve as the business grows and team portfolios are adjusted to maintain balanced workloads and operational efficiency.
Expectations
- Hybrid role with approximately 20 hours per week expected in the corporate office
- Remaining hours are flexible and may require responsiveness outside traditional business hours to support active leads and enrollment opportunities
- Maintain flexibility as business needs evolve and studio portfolios expand
Compensation & Benefits
- Base Salary: $60000 annually
- Bonus Opportunity: Up to $12000 annually (performance-based paid monthly)
