The Remote Scheduler is responsible for coordinating and managing appointments property showings inspections closings and other time-sensitive events for agents and clients. This role requires excellent organizational skills clear communication and the ability to juggle multiple calendars and priorities in a fast-paced deadline-driven environment all from a remote setting.
Key Responsibilities:
Schedule and confirm property showings open houses inspections appraisals and closing appointments
Manage multiple agent calendars resolving conflicts and prioritizing time-sensitive requests
Communicate with clients agents vendors title companies and inspectors to coordinate appointment times
Send appointment confirmations reminders and follow-up communications via phone email or text
Reschedule or cancel appointments promptly when changes occur notifying all relevant parties
Maintain accurate up-to-date scheduling records in the CRM or scheduling software
Coordinate lockbox access showing instructions and property access details with agents and clients
Track recurring deadlines (contract contingencies inspection periods closing dates) and flag upcoming dates to agents
Assist with light administrative support tasks related to scheduling (updating contact info preparing appointment summaries)
Escalate scheduling conflicts or urgent issues to agents or supervisors promptly
Maintain professionalism and strong customer service when interacting with clients and vendors
Required Qualifications:
High school diploma or equivalent
1 year of experience in scheduling appointment setting dispatch or administrative support (remote experience a plus)
Excellent organizational skills and ability to manage multiple calendars simultaneously
Strong verbal and written communication skills
Comfortable using scheduling software CRM platforms and calendar tools (Google Calendar Outlook Calendly or similar)
Reliable internet connection and a quiet home workspace suited for phone-based work
Ability to stay calm and organized when handling last-minute changes or scheduling conflicts
Strong customer service orientation
