  • This is an ALE Registrar position 6 hours per day 190 days per year. Prefer to have selected candidate cross train during July/August in preparation for official start date of 8/31.

TITLE Registrar

REPORTS TO Building or Department Administrator

POSITION SUMMARY

This position maintains and updates student records and provides secretarial support to the building administration. Responsibilities include maintaining student records including transcripts cumulative files and confidential files.

PREFERRED QUALIFICATIONS

Education and/or Experience

Required:

  • Minimum requirement is High School Diploma or equivalent.

Desired for ALE program Registrar:

  • ALE office experience preferred.
  • Experience with Skyward and/or any ALE SIS preferred.
  • Advanced skills with Excel/spreadsheets preferred.

Knowledge Skills and Abilities

  • Knowledge of secretarial procedures including general bookkeeping
  • Knowledge of correct grammar spelling and English usage
  • Excellent written and oral communication skills
  • Proficiency with general office machines and computer software programs including Microsoft Office and Adobe
  • Ability to work independently with minimal supervision
  • Ability to multi-task attend to detail and follow tasks through to completion
  • Ability to make accurate arithmetic calculations
  • Ability to set up and maintain accurate records and databases
  • Ability to establish and maintain effective working relationships with staff parents and the general public

POSITION RESPONSIBILITIES

  1. Adhere to federal and state laws and district regulations policies procedures and practices
  2. Mandatory reporter for incidents of child abuse harassment intimidation bullying boundary invasions fights substance abuse etc.
  3. Abide by employment provisions provided for in the collective bargaining agreement
  4. Observe strict confidentiality regarding student information
  5. Understand create map and monitor course codes using school-specific systems.
  6. ALE Program: Organize schedule and manage state testing.
  7. Maintains confidential student files and records including transcripts permanent record cards and emergency contact data; pulls files for counselors. Responds to requests for transcripts.
  8. Maintain and reconcile student records for compliance reporting.
  9. Registers students for classes. Enters student information and master class schedule into computer system. Generates class lists after student registration. Assists administrators in resolving registration and scheduling problems.
  10. Generates reports and student lists. Prepares monthly enrollment figures for district office.
  11. Tracks grade point averages and class rank.
  12. Monitor student progress toward graduation requirements including grades credits and state requirements.
  13. Assist graduating seniors with end of year tasks and college readiness.
  14. Post student grades and credits.
  15. Communicate deficiencies with appropriate parties.
  16. Compiles list of students for graduation events and honor roll publication; ensures accuracy.
  17. Creates correspondence and forms for school administrators as needed.
  18. Maintains regular and punctual attendance.
  19. Performs related duties as assigned.

This position is that of a Registrar to the department administration and is represented by the PSE of Monroe Office Personnel Association. Vacations holidays and other conditions of employment are covered under the PSE of Monroe Office Personnel collective bargaining agreement. Hours and days to be determined by the district.

EVALUATION PROCEDURES:

An annual evaluation of performance shall be completed by the building administration in accordance with District evaluation procedures.
