Records Cordinator

Job Summary
InterDent is seeking a highly organized and detail-oriented Records Coordinator to oversee the accurate organization maintenance and retrieval of business and administrative records. The successful candidate will work with electronic and physical records ensure information is properly documented and support internal teams with timely access to accurate records.
This position may support a remote work arrangement depending on business requirements. The Records Coordinator will collaborate with teams across the organization maintain confidentiality when handling sensitive information and help ensure records are managed consistently and efficiently.
Key Responsibilities
- Organize maintain and update electronic and physical records.
- Review records for accuracy completeness and consistency.
- Enter and update information in databases and internal systems.
- Retrieve records and documentation in response to authorized requests.
- Maintain appropriate filing systems and document indexes.
- Identify duplicate incomplete outdated or inconsistent records and coordinate corrections.
- Assist with document scanning digitization archiving and records retention activities.
- Maintain confidentiality when handling patient employee financial and company information.
- Coordinate with operations human resources finance compliance and practice-support teams regarding records.
- Prepare reports and tracking logs related to records management activities.
- Follow established procedures for document retention security and disposal.
- Support remote administrative workflows and communicate effectively with distributed teams.
Requirements
- High school diploma or equivalent required; associate or bachelors degree preferred.
- Previous experience in records management document control administrative support healthcare administration or a related field.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Proficiency with Microsoft Office particularly Word Excel and Outlook.
- Familiarity with electronic databases and document-management systems.
- Strong written and verbal communication skills.
- Ability to handle confidential information responsibly.
- Ability to prioritize multiple assignments and meet deadlines.
- Comfortable working independently in a remote environment when applicable.

- Experience working in healthcare dental or other regulated environments.
- Familiarity with electronic health records or dental practice-management systems.
- Knowledge of HIPAA and healthcare information privacy practices.
- Experience with records retention document control or information governance.
