Reclamation Geotechnical Specialist - Document Control

The Regulatory Compliance & Document Control Coordinator is responsible for administration governance maintenance and control of regulatory permits compliance records reclamation documentation agency correspondence controlled documents and operational records supporting Land Resources Reclamation and Permitting functions. The position serves as the primary custodian of regulatory and compliance documentation and supports audit readiness operational continuity records retention compliance and risk reduction. Additional significant responsibilities include Fleet & Vehicle program coordination and procurement of team supplies.

Where will you work: The selected candidate/employee will work at our corporate office located in Lithia FL (13830 Circa Crossing Drive Lithia FL 33547).

Schedule: Work hours are somewhat flexible but generally 8am-5pm with every other Friday off (9/80 schedule).


What youll do:

  • Serve as primary administrator for permits compliance records controlled documents regulatory files and agency correspondence.
  • Maintain the Master Agency Permit Tracking System to ensure all permit information remains current and properly documented.
  • Manage permit files modifications conservation easements mitigation agreements monitoring reports regulatory submittals agency correspondence and associated compliance documentation.
  • Administer Content Server/LiveLink repositories Teams sites SharePoint resources controlled document workflows departmental forms templates and compliance tracking systems.
  • Ensure retention and organization of records in accordance with company records retention requirements and support regulatory audits inspections and information requests.
  • Provide support for document governance workflow administration records management and compliance documentation processes.
  • Coordinate maintenance repairs inspections reservations registration insurance records and operational readiness of departmental vehicles.
  • Maintain vehicle documentation and emergency response information.
  • Serve as liaison between vehicle users vendors and internal support organizations to ensure fleet readiness and compliance.
  • Coordinate and process Reclamation Parcel Accrual Requests (RPARs) through approved workflow systems.
  • Maintain departmental web resources Teams sites and related administrative systems.
  • Coordinate procurement of PPE office supplies field equipment and operational materials.
  • Support meetings training activities records transfers shipping activities office projects space management initiatives and special projects as assigned.

What youll need for this role:

  • High school diploma/GED is required; associate degree (or higher) is preferred.
  • Applicable experience/education in administrative compliance records management business environmental or related field is highly preferred.
  • Experience in environmental permitting tracking familiarity with local state and federal permitting processes and record keeping is highly preferred.
  • Advanced Microsoft Office Teams SharePoint Content Server/LiveLink document management systems records management systems workflow administration systems and compliance tracking databases. Advanced knowledge of regulatory compliance documentation systems (i.e. Sphera EC SAP etc.) is desired.
  • Must have excellent organizational skills and strong familiarity with Excel Word etc.
