About the Role:
The Office Administrative Assistant is responsible for the organization and coordination of office operations and resources to facilitate organizational effectiveness and efficiency. The Receptionist is responsible for staffing the Foundations front desk during office hours is the first point of contact for the public and provides professional and welcoming customer service to all constituents.
Key Responsibilities:
Office Administration Assistant Functions:
- Assist other departments with administrative needs
- Serves as a member of the UM Foundation Safety Committee
- Coordinates scheduling of Foundations shared conference space(s)
- Coordinates work orders repairs and maintenance of office space as necessary
- Monitors and maintains inventory of routine office supplies
- Serves as liaison for vendors of office supplies and services including cleaning contractor
Receptionist Functions:
- Opens and closes the Foundation reception area punctually according to current office hours
- Must be available to arrive by 7:45 AM to open the office and ensure operations are ready to begin by 8:00 AM
- Answers incoming telephone calls; elicits information to transfer to appropriate staff answer questions or takes message and relays as appropriate
- Monitors and maintains neat appearance and stocking of reception and refreshment area mailroom and shared conference space(s)
- Monitors and maintains neat appearance and stocking of staff breakroom
- Processes outgoing mail and deliveries including express and bulk mailings as directed
- Receives and processes incoming mail and deliveries according to established procedures and controls
Ideal Candidate:
- Excellent organizational skills
- Excellent and professional verbal and written communication skills and demeanor in person on the telephone and in business communications
- Ability to appropriately handle highly confidential and/or sensitive information and/or documents
- Ability to work collaboratively or independently as needed
- One-year related experience in a professional office setting
