Why this role
Youll be the first face clients see when they walk into one of Floridas leading real estate and estate planning firms. This isnt a sit behind the desk and answer phones role youre the front of the house setting the tone for every client meeting and closing. What youll do
Welcome clients and visitors with warmth and professionalism. Manage a multi-line phone system and route calls efficiently. Coordinate appointments oversee conference room scheduling and maintain a polished organized reception area. Handle incoming and outgoing mail and deliveries. Support attorneys and staff with scanning filing electronic records and other administrative tasks. Throughout it all youll handle confidential client information with discretion.
What were looking for
Youre warm polished and unflappable under a busy front desk. You communicate clearly in person on the phone and by email and you know how to prioritize when three things need your attention at once. Youre comfortable with technology (Microsoft Office scheduling software case management systems) and pick up new tools quickly. Prior experience in a law firm title company or professional services environment is a plus but not required.
Bonus points for: bilingual English/Spanish notary commission (or willingness to obtain one).

What You Bring
  • 1 year of receptionist administrative or customer service experience
  • Professional communication skills (both written and verbal)
  • Strong organizational skills and attention to detail
  • Comfort with Microsoft Office and learning new software quickly
  • Ability to manage multiple priorities in a fast-paced setting
  • A calm solution-oriented mindset
Law firm or professional office experience is a plus but not required.
