Job Summary

Job Purpose


Operate the switchboard; provide excellent customer service over the phone and in person to agency guests clients and other visitors. Provide clerical and administrative support to executive management.


Job Description


  • Operate the switchboard; answer and transfer calls take messages if needed provide customer support to clients guests and visitors over the phone and in person.
  • Draft letters email and other correspondence needed by executive management.
  • Assist in the preparation of reports for internal and external audiences.
  • Perform data entry into spreadsheets and other forms for internal tracking purposes.
  • Maintain client confidentiality in accordance with Federal Confidentiality laws and BVCASA policy and procedures.
  • Maintain accurate documentation of visitor sign in/out logs community service documentation and other tasks needed to ensure compliance with contract requirements state rules and agency policies and procedures.
  • Direct staff clients and guests as needed to ensure smooth business operation and efficiency.
  • Complete all documentation and reports in a timely manner as required to meet deadlines.
  • Respond to all communication from both internal and external sources in a professional and timely manner.
  • Represent the organization in a professional manner at all times.
  • Other duties as assigned by supervisor or Executive Director.


Qualifications Skills and Requirements


Qualifications

Graduation from an accredited high school or GED some college preferred. A minimum of two years experience in office management filing systems or clerical duties.


Preferred Knowledge Skills and Abilities

  • Strong ability to communicate effectively orally and in writing.
  • Strong computer skills particularly in Microsoft Word and Excel.
  • Ability to establish and maintain effective working relationships with staff clients and the general public.
  • Some knowledge of computer operations.
  • Ability to represent BVCASA with a positive image.
  • Must have a high standard of professional ethics and integrity with all clients community members and BVCASA personnel.


Other Requirements

Must have a current drivers license reliable transportation and a telephone.
