Job Summary
Griffin Health is seeking a highly organized customer-focused Patient Charge Specialist to support the daily administrative operations of our Outpatient Psychiatry department. This role serves as a key point of contact for patients providers and staff by coordinating appointments managing patient records supporting billing processes and ensuring an exceptional patient experience. The ideal candidate is detail-oriented compassionate and committed to providing outstanding customer service in a fast-paced healthcare environment.
- Provide administrative and clerical support to ensure the efficient daily operation of the Outpatient Psychiatry department.
- Answer and direct incoming telephone calls respond to patient inquiries and relay messages promptly to clinical staff.
- Schedule patient appointments including new patient intakes follow-up visits and therapy sessions while managing cancellations and rescheduling requests.
- Welcome and check in patients verify demographic and insurance information and ensure all required registration forms and documentation are completed.
- Maintain accurate patient records within the electronic health record (EHR) system including scanning and uploading documentation.
- Coordinate referrals by contacting patients scheduling appointments and tracking referral status to completion.
- Verify insurance information and maintain accurate patient insurance records.
- Prepare organize and distribute daily billing or encounter forms for providers as needed.
- Maintain patient records in accordance with HIPAA regulations and Griffin Health confidentiality standards.
- Facilitate communication between front office staff clinicians and other departments to ensure efficient patient flow.
- Conduct appointment reminder calls follow up on missed appointments and assist patients with rescheduling.
- Monitor daily scheduling referral and patient follow-up logs to ensure timely completion of tasks.
- Assist with maintaining office supplies organizing departmental paperwork and supporting general administrative functions.
- Perform additional duties as assigned to support departmental operations.
- Primary location- Derby. Possible coverage in Hamden and Shelton offices
Education
- High school diploma or equivalent required.
- Associate degree in Healthcare Administration Business or a related field preferred.
Experience
- Minimum of one year of administrative or patient service experience in a medical office behavioral health or healthcare setting preferred.
- Experience working with electronic health records (EHR) systems preferred.
- Medical scheduling and insurance verification experience strongly preferred.
- Excellent organizational time management and multitasking skills.
- Strong verbal and written communication skills.
- Exceptional customer service and interpersonal skills with the ability to interact professionally and compassionately with patients.
- Strong attention to detail and accuracy.
- Ability to prioritize responsibilities in a fast-paced environment.
- Proficiency with Microsoft Office applications and electronic health record systems.
- Knowledge of HIPAA regulations and patient confidentiality requirements.
- Demonstrated problem-solving skills and ability to work independently as well as collaboratively within a multidisciplinary team.
