Role description:
Arcadis is seeking a Project Assistant to join our team in supporting project administration work for multiple project managers and operations in the NY Area. This position is hybrid; thecandidate should be able to easily come into the Clifton Park and/or Syracuse office as needed. They will be working locally with the project managers and project teams.
This is an exciting opportunity for a self-motivated individual to join our team locally with support from one of the best-qualified consulting firms in the this role you will support multiple project teams by tracking project progress preparing contract-related reports for management monitoring budgets and distributing routine project correspondence. The Project Assistant may also support professional technical and engineering staff with daily office administration including scheduling meetings coordinating travel preparing and managing documents and spreadsheets maintaining files and meeting strict deadlines.
Role accountabilities:
As a Project Assistant the successful candidate will:
- Set up projects in Oracle; track and monitor project schedules and budgets; and administer project and financial management accounting activities for projects of varying size.
- Prepare and analyze financial metrics reports for project managers.
- Manage organize and maintain project documents and related materials.
- Prepare client billing documents in accordance with contract requirements and verify that invoices comply with contract terms.
- Coordinate with subcontractors on billing requirements.
- Prepare contract terms compliance reports.
- Develop complex reports and spreadsheets conducting a high level of quality control of documents.
The ideal candidate will have strong interpersonal and communication skills and be proficient in Microsoft Word PowerPoint Outlook and Excel. They should be highly motivated process-oriented and committed to continuous improvement. Success in this role requires excellent time management and organizational skills with the ability to prioritize work meet deadlines and manage multiple tasks projects and responsibilities simultaneously. The candidate must also demonstrate strong analytical skills and close attention to detail. Candidate must be able to work overtime as needed
Qualifications & Experience:
- 5 years of related technical/administrative experience in a fast-paced-setting.
- Associate or Bachelors degree in business administration or related field or equivalent experience.
Preferred Qualifications:
- 7 years of experience.
- Bachelors degree in Business Accounting Finance or related field of study.
- Experience/Knowledge with Oracle (or other online database).

We offer nine paid holidays and 15 days PTO that accrue per salary range for this position is $50000 - $68000. Actual salaries will vary and are based on several factors such as experience education budget internal equity project and location.
