Location: Boston MA 02108 (Onsite)

Type: 8 Months Contract

Job Summary

We are seeking aProject Assistant/Program Assistantwho will provide administrative services to support programs projects and daily operations. They will handle client communication file maintenance contract and invoice assistance budget tracking and cross-divisional program support.

Key Responsibilities

  • Provide appropriate information to clients via phone email in-person workshops and one-on-one counseling with the highest level of customer service.
  • Assist with program marketing outreach efforts bulk mailings advertisements and email blasts.
  • Provide administrative support to staff related to programs contracts and special projects.
  • Perform data entry and maintain accurate electronic and hard-copy file systems.
  • Assist with the preparation and execution of Requests for Proposals (RFPs) service orders contracts invoices and payment processing.
  • Prepare and track enrollment and commitment forms through Administration and Finance.
  • Track and report on program budgets production targets and performance metrics.
  • Conduct research and prepare administrative reports and presentations as requested.
  • Coordinate with other units or divisions to ensure reliable telephone coverage across office operations.
  • Provide operational support and administrative assistance to other units or divisions as assigned.
  • Perform related administrative work as required to support division operations.

Required Skills & Experience

  • At least 2 years of full-time or equivalent part-time administrative experience.
  • Must hold Boston residency (e.g. Boston Roxbury West Roxbury Mattapan Dorchester).
  • Demonstrated communication interpersonal organizational and follow-up skills.
  • Ability to attend to detail and initiate special projects of moderate complexity with minimum supervision.
  • Ability to exercise good judgment and focus on detail as required by the role.

Preferred Qualifications

  • Experience in public administration housing program management or real estate preferred.
  • Proficiency with computer-based office software including MS Office (Word and Excel) Salesforce Google Suite and working knowledge of desktop mobile and web-based platforms preferred.
