Job Summary
The Project Administrator II is responsible for providing administrative secretarial and clerical support to the project. They will maintain a professional working relationship with owners architects engineers subcontractors and suppliers and may supervise and provide training for the Project Secretary as well as participate in the Individual Development Review for that employee. Project Administrator II is for employees with 2 years of experience in this position or with experience on larger and more complex projects. This position is 100% on-site and not eligible for remote or hybrid work. This position is not eligible for visa sponsorships.
Key Responsibilities:
Oversee project timekeeping activities by reviewing labor reports validating timecards maintaining administrative timesheets and coordinating timecard corrections and labor reallocations to ensure accurate labor reporting.
Generate analyze and maintain project reports related to labor payroll invoicing inventory and other operational metrics.
Process accounts payable by managing vendor invoices assigning cost codes routing approval workflows establishing vendors and monitoring customer and vendor invoice status.
Support project accounting by reviewing payroll reports maintaining accurate project financial records and assisting with cost reallocation.
Establish and maintain project administrative workflows and support project startup activities.
Maintain project files records and documentation throughout the project lifecycle.
Assist with project closeout by preparing reports and ensuring project documentation is complete and accurate.
Coordinate project administrative activities and provide general administrative support to project leadership.
- Perform additional administrative duties and special projects as assigned.
Minimum Job Requirements:

be proficient with word processing and spreadsheet software.
use of all Microsoft Office Suite programs.
-year accounting degree or equivalent combination of business training and/or related experience.
