Job Summary
We are seeking a detail-oriented Program Support professional to provide administrative assistance to Career Service Counselors. This role involves supporting case management activities preparing documentation organizing electronic records and assisting with daily administrative tasks in a collaborative office environment.
Key Responsibilities
Support counselors with case management tasks including creating documents entering case notes processing purchase orders and managing electronic records.
Prepare forms letters and referrals using information from the case management system.
Review reports and organize information for counselor follow-up.
Follow up with schools vendors and service providers to obtain required documentation.
Maintain and update Excel spreadsheets and electronic files.
Access and retrieve information from internal systems and shared drives.
Provide visual assistance and administrative support as needed.
Qualifications
Strong organizational and multitasking skills.
Ability to work independently with minimal supervision.
Excellent written and verbal communication skills.
Proficiency in Microsoft Windows Word Excel Outlook Microsoft Teams and Zoom.
Ability to quickly learn new software and case management systems.
Positive attitude and strong attention to detail.
Previous administrative or program support experience is preferred.
