Job Summary

The position requires strong organizational communication and time-management skills. The worker should be able to track multiple assignments maintain accurate records prepare routine written communication and follow up with providers in a professional manner.

The worker should be proficient with Microsoft Office Suite including Outlook Word and Excel and should be able to update spreadsheets maintain tracking logs organize electronic files and assist with document preparation. Attention to detail is essential because the position will support reporting requirements involving multiple programs counties and service lines.

The worker must be able to manage competing priorities work independently maintain confidentiality and communicate effectively with Statestaff and contracted providers.

Strong attention to detaileffective written and verbal communication organizational ability basicspreadsheet proficiency time management ability to maintain accurate trackinglogs and ability to handle multiple assignments simultaneously. The workermust be able to work independently follow direction maintain confidentialityand support routine follow-up with providers and internal staff.

Desiredskills include prior administrative experience in a government healthcarebehavioral health social services or contract-monitoring with spreadsheets reporting logs provider communication datatracking document management and meeting support is preferred. Familiaritywith behavioral health programs or State-funded provider reporting is helpfulbut not required

Provideadministrative reporting tracking and follow-up support to the DMHAS OTRSwith primary support to the Acute Care Unit. Assist with monitoring requiredprovider submissions across OTRS service lines operating statewide in all 21counties.

Trackand document reporting status for required submissions including SRC QCMRUSTF and other assigned reporting processes. Follow up with contractedproviders and programs regarding missing late incomplete or inconsistentreports. Maintain tracking logs update spreadsheets organize electronicfiles and prepare routine status updates for review by OTRS and Acute Careleadership.

Assistwith preparing routine correspondence reminder notices meeting materialsmeeting notes and internal summaries related to reporting compliance andprovider follow-up. Support the unit in identifying outstanding submissionsdocumenting outreach efforts and ensuring required reports are receivedorganized and available for program review.


Provide additional administrative support as needed includingscheduling assistance document preparation template updates data entryfiling and coordination with other OTRS units. Maintain confidentiality ofprogram provider and client-related information and perform other relatedduties as assigned
