JOB SUMMARY:

The Pride & Events Manager leads the planning and production of the Sacramento

LGBT Community Centers signature events including the Sacramento Pride March & Festival Mamas Makin Bacon Drag Brunch Fundraiser Q-Prom Chosen Family Feast World AIDS Day advocacy events and selected arts cultural fundraising and community engagement events.This rolesupports the Centers mission and work touplift a diverse and culturally rich LGBTQ community.


Thisposition implements the Centers annual events plan and serves as the primary operational lead for Sacramento Pride. The Pride & Events Manager oversees event production from planning through evaluation ensuring events are delivered safely inclusively accessibly on schedule and within budget while advancing organizational goals and community impact.


The successful candidate will bringsignificant experiencemanaging large-scale events strong project and budget management skills sound judgment adaptability and a commitment to creating welcoming and affirming experiences where LGBTQ people of all backgrounds canparticipateand thrive.

Event Planning and Production

  1. Implement the Centers annual events plan in collaboration with and under the direction of the Chief Development & External Affairs Officer.
  2. Manage assigned events from concept through post-event evaluation including planning budgeting timelines registration and ticketing accessibility safetylogistics vendor coordination on-site operationsregistration and salesperformance monitoring and corrective action as needed to achieve established goals.
  3. Developmaintain and continuously improve event-management systems procedures templates inventories production schedules records and archival documentation that support effective event delivery and organizational continuity.
  4. Provide event-planning tools andtechnicalassistancesupportfor program-led eventsas assignedbased on capacity and organizational priorities.
  5. Manage the organized storage maintenance inventory and distribution of event equipment and supplies.

Sacramento PrideProgramLeadership

  1. Lead year-round planning and production of the Sacramento Pride March & Festival and associated Center-sponsored Pride Month events.
  2. Develop and manage the Pride master work plan production schedule budget site plan and related operational documents.
  3. Coordinate all Pride-related infrastructure vendors contractors performers exhibitors public agencies permits licensesinsuranceinspections accessibility requirements safety planning and event operations.
  4. Develop and implement safetyemergency-response and severe-weather plans in collaboration with organizational leadership public agencies contractors and community partners.
  5. Directlycoordinate andsupervise eventload-in build-out live operationsbreakdown and storage.
  6. Foster meaningful inclusion of historically underrepresentedBIQTPOC communities transgender and nonbinary people people with disabilities LGBTQeldersand youth.Maintain collaborative relationships with regional Pride organizations community partners and public agencies.


Volunteer Partner and Stakeholder Engagement:

  1. Recruit coordinate trainscheduleand support event committeesvolunteersinterns temporary staff contractors andcross-functional event teamsestablishingclear roles deadlines and communication practices.
  2. Developandmaintainpartnerships that improve the quality accessibility cultural responsiveness and inclusiveness of Center events.
  3. Coordinate the review andexecutionofapprovedthird-partyand collaborativeeventswith internal departments and external stakeholders.
  4. Maintaincleartimelyaccurate and professional communication with staff volunteerssponsorscommunity partnersvendorsperformers public agencies and event participants.


Revenue Generation andMarketingSupport:

  1. Partner with the Chief Development & External Affairs Officer and Development teamto maximizeevent revenuethroughearned-income opportunities sponsorshipsstrategicpartnershipsin-kind support cost-saving opportunities and operational efficiencies.
  1. Coordinateand document thefulfillment of event-related sponsor benefits including signage exhibit space tickets acknowledgments stage recognition and on-site activations.
  1. Provide the Communications&MarketingManagerwithtimelyaccurateeventinformation production updates audience insightsandsales goals sponsor requirementsvisualassets anddeadlinesneeded to support successful promotion and participant engagement.Monitormarketingand salesperformance and collaborate on strategies to improve.
  1. Collaborate ontimelyaccurate accessible inclusive and mission-alignedevent communications publications signage scriptsstage programsmulti-mediaand promotional materialsaligned with approved plans.
  1. Ensureaccuratecollection and recording of sponsor donor vendor volunteer and participant information within organizational systems.


Financial Vendor and Operational Management

  1. Developand manage event budgetsin partnershipwith the Chief Development & External Affairs Officer and Finance teammonitoringrevenue expenses commitments risks andvariancesand recommending corrective action when needed to maximize return on investment.
  2. Managevendorcontractorvenueandservice provider/performersrelationships includingprocurementthrough competitivebidding proposal review negotiations agreements insurance documentation performance monitoringdocumentationand payment coordinationin accordance withthe Centers financial operations policies and approval processes.
  3. Ensure compliance with applicable laws regulations permits insurance requirements accessibility standards safetyprotocols and organizational policies.
  4. Use technology and data systems to improve registration ticketing applications volunteer coordination communications on-site flow and information management.
  5. Track analyze and report event performance metrics financial results attendance participation sponsorship deliverables and other established outcomes using findings and post-event evaluations torecommend or implement changes that willstrengthen future events;Lead formal evaluation meetingsto gather feedback and report on event performance to theChief Development & External Affairs Officer Leadership Team and Board committees as requested.
  6. Coordinatetimelyacknowledgmentsevent follow-up activitiesand thank-you communications.


GENERAL DUTIES:

  1. Functions as a strategic member of theDevelopment & External Affairsteam;routinely collaborateswithProgram and Operations teams as well as external groups andstakeholdersinvolved in assigned events.
  2. Facilitate orparticipatein cross-departmental staff committee production and Leadership Team meetings when eventexpertiseor coordination is needed.
  3. Support internal employee steering committees as assigned.
  4. Provide guidance and mentorship to less experienced internal staff community activists/advocates and leaders at developing LGBTQ and allied organizations locally and across the country.
  5. Maintain strict confidentialityand the highest level of integrity and professional boundariesin relationships with all program leadership team members staff clients media and donors.
  6. Participate in the Centers rotating Leader On-Call Program to support on-site staff and clients during after-hoursemergencies.

QUALIFICATIONS AND EXPERIENCE:

  1. Demonstrated ability to manage multiple complex projects strict deadlines budgets vendorslogistics public agencies sponsors volunteers and cross-departmental teams.
  2. Experience developing budgetsmonitoringrevenue and expensesidentifyingrisksplanning forcontingencies and recommending practical adjustments.
  3. Strong organizational analytical interpersonal written and verbal communication skills with exceptional attention to detail and the ability to remain calm under pressure.
  4. Demonstrated ability to recruit train coordinate motivate and support volunteers and event teams with differing roles priorities and reporting relationships.
  5. Experience documenting event plans standard operating procedures checklists timelines and other systems that strengthen efficiency and continuity.
  6. Experience with municipal or governmentalspecial-eventpermitting is strongly preferred.
  7. Familiarity with Sacramento-area venues vendors community organizations and public agencies is preferred.


REQUIREMENTS:

  1. Mission and Community Knowledge:Commitment to the Centers mission and demonstrated understanding of LGBTQIA2S communities including how gender identity sexual orientation race disability age economic status immigration status HIV status housing instability mental health substance use and other lived experiences intersect. Demonstrated commitment to diversity equity inclusion belonging accessibility anti-racism and civil rights.
  2. Education:Bachelors degreeinevent management hospitality management business administration marketing public relationsor similar field;Six (6)or more yearsofprogressively responsible event managementexperience may be substituted for formal education.Equivalentcombinationof education trainingcertificationsand relevant professional experiencemay be considered.
  3. Experience:A minimum offive years of event-production experienceor equivalent experience including large-scale events with significant volunteer involvement and gross revenue of $500000 or more such as festivals peer-to-peer walks runs or rides galas conferences or comparable public gatherings.
  4. Computer/Office Equipment Skills:Superiorproficiencywith Microsoft Outlook Word Excel PowerPoint OneDrive and Teams. Experience with Canva and social media tools isrequired; familiarity with donor-managementgraphic-design and event-management software is preferred.
  5. Language Skills:Fluency in English isrequired. Bilingual candidates who can speak read write translate and respond to media inquiries in Spanish are encouraged to apply.
  6. Transportation:Access to reliable automobile transportationa validdrivers license and proof of insurance. Regular regional travel and occasional air travel arerequired.The position may occasionally require driving rented vehicles including moving trucks or recreational vehicles.
  7. Availability:Ability toworka flexible schedule including regular evenings and weekends and extended hours during peak event periods.
