Description of Work

This position provides administrative support to the Lieutenant in the overall operation of a District Office. The Administrative Specialist I performs a wide range of clerical administrative and customer service functions that support daily district operations and contribute to the agencys mission. Responsibilities include managing office communications maintaining records and reports coordinating administrative processes supporting sworn personnel and serving as a liaison with internal and external stakeholders.

Management Prefers:

  • Knowledge of standard office practices procedures and administrative support functions.
  • Proficiency in Microsoft Office applications including Outlook Word Excel and related software.
  • Ability to prepare accurate reports correspondence and records.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.

Key Responsibilities include but are not limited to:
  • Provide comprehensive administrative and clerical support to the Lieutenant Sergeants Troopers and District personnel to ensure efficient office operations.
  • Prepare edit and distribute memorandums business correspondence reports spreadsheets forms charts and other official documents using standard office software applications.
  • Manage office communications by answering and directing telephone calls monitoring email correspondence responding to inquiries and distributing information to appropriate personnel.
  • Maintain and update electronic and physical filing systems records databases and correspondence in accordance with established agency procedures and records retention requirements.
  • Participate in special projects committees training programs and other assignments as directed while promoting a professional work environment that supports the agencys mission and organizational goals.

Position/Physical Requirements:

Typical work schedule: Monday-Friday; 8:00am-5:00pm

High school diploma or General Educational Development (GED) diploma

AND

two years of related administrative support experience

OR

an equivalent combination of education and experience.

Veterans and National Guard Preference
