The Performing Arts Enrollment Manager and Box Office Coordinator is responsible to the Academic Department Heads of Music and Theatre Arts in supporting the mission and culture of the University and the departments by organizing and overseeing recruiting and retention efforts and coordinating the performing arts box office. This position will be the single point of contact for constituents in recruiting efforts including performing-arts faculty admissions staff high-school performing arts directors and prospective students. This position will also be responsible for customer service and ticket sales for all theatre dance and music productions produced by CMU.

OVERVIEW AND ROLE SCOPE OF TEAM AND/OR TASKS

CAPACITY REQUIREMENTS
Enrollment Manager:

  • Develop and implement effective recruitment strategies to attract talented students to the music and theatre departments
  • Collaborate with faculty admissions and IRIS to ensure a smooth and efficient admissions process for accepted students
  • Manage information on prospective students using CRM and other software
  • Coordinate advertising and outreach to prospective students including website social media festivals faculty recruiting trips conference booths mailings emails messages and phone calls
  • Manage logistics for faculty recruiting trips audition days and on-campus recruitment events
  • Attend recruiting events conferences and other activities where prospective students may be involved such as area school performances campus recruiting events and conferences
  • Manage physical and online recruiting materials
  • Serve as a liaison to high-school performing arts directors
  • Serve as a resource for prospective students by providing information about the universitys programs curriculum facilities and student life
  • Maintain departmental student records
  • Assist Academic Department Heads with implementing and tracking retention efforts


Box Office:

  • Provide customer service and ticket sales for all theatre dance and music productions at CMU and off-campus events
  • Hire train and supervise a staff of student employees manage a student-assist budget and approve electronic time sheets
  • Maintain communication with managers of other campus ticketing locations for any issues policy changes or special circumstances affecting the performing arts ticketing functions
  • Organize and manage sales for special school matinee performances and serve as the point of contact for teachers bringing groups
  • Program all aspects of ticketing POS software including all events packages benefits vouchers account codes seating holds pricing donation campaigns discount codes ticket layouts and customer profiles
  • Communicate with ticketing POS softwares customer service department for troubleshooting and with CMUs Information Technology office for any equipment issues
  • Manage cash and reconcile all sales prepare deposits and keep records of all deposits to the Cashier Office and to the CMU Foundation
  • Provide reports on ticket sales attendance donors fundraising and others as requested or needed
  • Coordinate with house managers including ticket scanners and distributing programs
  • Oversee general maintenance of the physical box office space and its security requesting access for student workers as needed
  • Maintain an archive of all programs and other printed material for the departments of theatre and music and submit them to ASCAP and BMI
  • Communicate with donors and serve as the point of contact for donor ticketing and for invitations and check-in for donor events

ESSENTIAL EXPERIENCE FOR RIGHT FIT

  • Bachelors degree from an accredited college or university.
  • Demonstrated experience with Microsoft Office and POS software.
  • Strong communication and organizational skills.
  • Self-motivated.
  • Ability to schedule lead train and mentor student staff.
  • Experience and knowledge of the performing arts.
  • Three or more years of proven experience in a front-line customer/public-focused position requiring direct interaction with the public.
  • Demonstrated experience with using web content management systems online ticketing systems and/or similar retail systems.
