Payroll Coordinator - Position Overview:

The Payroll Coordinator supports the accurate timely and compliant administration of the organizations biweekly payroll. This position processes payroll transactions; maintains payroll records; prepares reports journal-entry support and account reconciliations; and supports payroll tax filings and year-end activities including annual Forms W-2 under the direction of the Payroll Supervisor. The Payroll Coordinator also assists with payroll and timekeeping systems grant and labor allocation reporting benefit reconciliations and payroll-related audits. This position provides timely and professional service protects confidential information resolves routine discrepancies and escalates complex or high-risk matters to the Payroll Supervisor.

Job Responsibilities:

  • Process the organizations biweekly payroll accurately and on schedule in accordance with established policies procedures and applicable regulations.
  • Review approved employee changes including new hires terminations transfers compensation changes deductions benefit elections leave and other payroll inputs for completeness and accuracy.
  • Prepare and process approved off-cycle payrolls and adjustments including applicable year-end taxable fringe benefit adjustments.
  • Receive and process short-term and long-term disability payment data and related payroll adjustments in accordance with established procedures and applicable tax requirements.
  • Maintain complete and accurate payroll records in accordance with the organizations document retention requirements and confidentiality standards.
  • Prepare and reconcile recurring and ad hoc payroll reports supporting payroll administration grants budgeting financial reporting and audits.
  • Prepare supporting data and draft quarterly payroll tax filings for review and approval by the Payroll Supervisor.
  • Assist with the preparation reconciliation and distribution of annual Forms W-2 under the direction of the Payroll Supervisor.
  • Prepare payroll journal-entry support and reconcile assigned payroll-related general ledger accounts for review by the Payroll Supervisor or Accounting.
  • Reconcile biweekly 403(b) contributions support timely remittance and prepare related journal-entry documentation.
  • Maintain payroll process instructions and communicate needed updates to the Payroll Supervisor when procedures or system requirements change.
  • Assist with maintaining and reviewing payroll and timekeeping system data including organizational structure payroll calendars and holidays. Participate in system testing validate results document discrepancies and communicate findings to the Payroll Supervisor.
  • Review payroll guidance relevant to assigned responsibilities and promptly communicate potential compliance concerns to the Payroll Supervisor.
  • Process wage withholding orders and remit related payments in accordance with the applicable order established procedures and required deadlines.
  • Reconcile and remit benefit deductions and other miscellaneous payroll deductions accurately and within required deadlines.
  • Prepare workers compensation payroll reports and process approved premium payments within established deadlines.
  • Prepare payroll documentation supporting monthly and quarterly grant reimbursement requests.
  • Review payroll labor allocations for accuracy and coordinate corrections with Accounting staff.
  • Support the Lead Benefits Coordinator by reconciling benefit carrier statements with payroll deduction records researching variances and communicating findings.
  • Assist with financial statement retirement plan workers compensation and other payroll-related audits by providing requested payroll records reports and supporting documentation.
  • Respond to payroll benefit deduction and tax questions from current and former employees supervisors and teammates in a timely and professional manner.
  • Perform other duties as assigned.

Required Qualifications

  • Bachelors degree in accounting finance business administration human resources or a related field and a minimum of two (2) years of payroll experience or an equivalent combination of education and experience.
  • Working knowledge of payroll practices payroll taxation wage withholding requirements and basic accounting principles is required.
  • Must possess strong written and verbal communication skills sound judgment attention to detail organizational skills and proficiency in Microsoft Excel and payroll systems.
  • Experience with payroll and timekeeping software is preferred.
  • Must be willing to use a personal vehicle for organizational travel when required.
