JOB DESCRIPTION AND POSITION REQUIREMENTS

The Bryce Jordan Center of The Pennsylvania State University is seeking candidates for Part Time Administrative Support Assistantstoserve as the first point of contact in person and via phone maintain confidential information and coordinate travel successful candidatewill be responsible for the following:

  • Greet customers provide information and refer as appropriate.
  • Screen and processroutinetelephone communicationsmailand requests.
  • Schedule and maintain calendar ofappointments meetingstravel itineraries etc.
  • Coordinate travel arrangements make reservations and process reimbursements.
  • Maintain files and databases;assemble and format data to create simple reports.
  • Prepare documents meeting materialscorrespondence.
  • Update and make routine changes to web pages.
  • Maintain confidentialandsensitive information and materials.
  • Recordand distribute meeting minutes.
  • Composeand editwritten communication.
  • Maintain inventory and order/purchase office supplies; arrange for equipment-maintenance; process work orders for facilities repairs/needs.
  • Onboarding Partner - Coordinate onboarding sessions for all part-time new hires - process all paperwork in accordance with U.S. Policies and PSU procedures and create BJC badges.
  • Maintain records and files on all employees. Create employee reports for department supervisors. Assist with wage terminations rate increases and job additions.

The hours on this position vary greatly from week to week and can range from 0 to 20.

This position typically requiresa High School diploma or higher plus1year of related experience or an equivalent combination of education and experience.
