General Description of Duties


Under general direction performs a variety of responsible administrative support duties at the journey level including greeting the public answering questions providing information processing records performing data entry and maintaining accurate files. Work requires knowledge of departmental rules regulations procedures and services as well as a solid understanding of County operations to respond to inquiries. The employee exercises tact and independent judgment when handling sensitive or confidential matters and typically follows established procedures referring precedent-setting situations to higher-level staff. The position requires proficiency with modern office technology including word processing database and spreadsheet software. Work is performed under regular supervision and evaluated through observation conferences and the quality and effectiveness of completed tasks.


Essential Duties and Tasks


Answers telephones greets visitors directs inquiries and provides program or departmental information using appropriate materials and resources.

Attends monthly court sessions with 4-H Youth Promise staff to support youth and coordinate program-related services.

Assists staff in identifying and securing appropriate community-service worksites for participating youth.

Supports planning and delivery of educational lessons and activities for the 4-H Youth Promise after-school program.

Collaborates with the Case Manager to maintain accurate organized documentation for incoming and outgoing youth participants.

Helps ensure participant records case files and program documentation meet organizational and program requirements.

Provides administrative and program support to promote successful youth engagement and positive program outcomes.

Assists the public in understanding departmental and County policies procedures and applicable laws; explains reasons for denied requests and refers exceptions or complaints to appropriate staff.

Prepares correspondence memoranda and other documents from notes or verbal instructions; proofreads materials; copies collates binds faxes emails and distributes information.

Compiles information using standardized forms; may develop forms or formats to improve workflow efficiency.

Compiles reports from program and service activity data; posts information to forms files databases and spreadsheets.

Receives screens and distributes mail documents and materials based on knowledge of unit operations and key personnel.


Additional Job Duties


May take and transcribe minutes for internal meetings or appointed boards and committees.

Works closely with 4-H Youth Promise staff to provide additional program assistance including helping with pick-up dropoff and daily program setup.

May coordinate or assist with the work of others typically in their absence.

Performs related duties as required.


Knowledge Skills and Abilities


Considerable knowledge of business English mathematics and applicable legal formats and terminology.

Considerable knowledge of modern office procedures and related information-technology equipment software and peripherals.

Working knowledge of County ordinances procedures and practices related to the assigned area including personnel and purchasing processes.

Skill in using office technology and software such as word processing spreadsheets and databases relevant to the work unit.

Ability to work independently on responsible administrative support tasks including confidential or sensitive assignments; ability to prepare agendas and confidential correspondence.

Ability to type transcribe and take dictation if required at the necessary speed and accuracy.

Ability to schedule appointments and meetings and establish work schedules based on oral or written instructions.

Ability to establish and maintain effective working relationships with supervisors coworkers and the general public.


Requirements


Physical Requirements

Must be able to physically perform the basic life operational functions of fingering grasping talking hearing and repetitive motions. Must be able to perform sedentary work exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift carry push pull or otherwise move objects. Must possess the visual acuity to prepare figures and data operate a computer proof work and do extensive reading.


Desirable Training and Experience

Graduation from high school supplemented by business courses and some secretarial or clerical experience; or an equivalent combination of education and experience.
