Position Overview
The Order Manager is responsible for managing the full order lifecycle from customer inquiry through final order entry and fulfillment. This role combines order entry quoting customer service and art administration into a single point of accountability ensuring seamless customer experiences and 100% accuracy in all order-related processes. The Order Manager serves as the primary liaison between customers sales and internal teams to deliver high-quality service and timely results.
Key Responsibilities
Order Management & Accuracy
Process customer orders with precision ensuring 100% accuracy in data entry and order details.
Review and verify pricing product specifications and artwork requirements prior to submission.
Track orders through production and delivery proactively addressing delays or issues.
Customer Service & Communication
Serve as the primary point of contact for assigned customers handling inquiries quotes and updates.
Provide responsive professional and solutions-oriented support via phone email and online systems.
Build strong relationships with customers by demonstrating reliability empathy and product knowledge.
Quoting & Art Administration
Prepare accurate and timely quotes based on customer needs and company pricing guidelines.
Coordinate artwork submissions approvals and revisions to ensure alignment with customer expectations.
Partner with internal teams (design production shipping) to streamline order flow and minimize errors.
Process Improvement & Collaboration
Identify opportunities to improve workflows and customer experience.
Collaborate with colleagues across departments to share best practices and resolve issues quickly.
Support team initiatives to improve operational efficiency and overall service standards.
Qualifications
Experience:
3 years in customer service order management or account management (preferably in B2B or manufacturing/distribution).
Experience with ERP/CRM systems and order entry platforms strongly preferred.
Skills & Competencies:
Exceptional attention to detail and accuracy.
Strong interpersonal and communication skillsable to listen problem-solve and build trust with customers.
Ability to manage multiple priorities and deadlines in a fast-paced environment.
Proficiency with Microsoft Office Suite (Word Excel Outlook).
Familiarity with quoting systems and/or art file administration is a plus.
Soft Skills:
