Role Summary:The Operations Manager oversees the daily operations of theirTransitional Housing Program ensuring a safe supportive and well-managed environment forclientsand staff. This roleis responsible forsupervising facility operations coordinating program servicesandensuring compliance withoperational standards imposed by theorganizationand/or authorized government bodies.
Primary Job Responsibilities/Duties:
Theprimary jobduties and responsibilities of theOperations Managershall include but notnecessarily belimited tothe following:
- Manage day-to-day program operations facilities management andclientsupport systems.
- Supervisethe Programs Residential Aides Shift Supervisorsand other Operationsstaff (if any)to ensuretheirtimelyandappropriate servicedelivery toclients.
- ProvideotherOperations staff withongoing coaching training and performance evaluations to promote professional growth and accountability.
- Provideemployeesand clients with guidance concerning relevantpolicies and procedures including but not limited to conflict resolutionand de-escalation techniques to promote safety and compliance.
- Participate in the development of operationalgoalsobjectivesandproceduresfor theProgram making recommendations for changes to existing standards and procedures.
- Serve as the Programs main advocate and daily representative in communications withthird partiesconcerned with orhired to providemaintenance security and/orcleaning or housekeeping services.
- Work closely with thePrograms Director ofOperations/Security to ensure compliance withapplicablehealth fire safety and emergency preparedness standards as well as any contractual obligations related to the Program.
- Work closely with thePrograms Director ofOperations/Security to ensure compliance with local state and federalrules andregulations includingthosepromulgatedby theCity of New YorksDepartment of Homeless Services (DHS) and otherauthorized regulators and government bodies.
- Conduct regular audits of program documentation case notes and operational reports tomaintainprogram integrity.
- Respond to and manage crises incidents or emergencies in coordination withother NAICAleadership and staff.
- Establishing and implementing team schedules and work tasks for the team.
- Prepare andsubmitoperational reports incident logs occupancy reports and other documentation asrequired.
- Foster a positive and collaborative work culturethat prioritizesclientwell-being and staff safety.
- Maintain ongoing communication with allOperationsdepartment supervisors/directors concerning any issues.
- ReportdirectlytothePrograms Director ofOperations/Securityandindirectly to itsSite Directorabout all activities needs/concernsand incidents within the facility.
- Support the implementation and monitoring of Standard Operating Procedures (SOPs) across the program.
Physical Requirements:
- Ability to walk stand kneel crouch and bend over.
- Ability to lift reach and handle objects weighing up to 25 pounds.
- Ability to sit at a desk and work on a computer for prolonged periods.
- Ability to travel todifferent locationswithin New York City as needed.
Work Environment / Schedule Requirements:
- Staff must continue working past their shift unless relieved by another staff member or authorized to leave by a supervisor.Ability to sit at a desk and work on a computer for prolonged periods.
- May beto work on or during evenings weekends and holidays.
Qualifications:
- At least (2) years of related shelter operations experience and supervisory experience.
- High school diploma / GED.
- Associates degree (preferred).
- Food Handlers Certification (requiredbeforeexpirationof probation).
- CPR/First Aid Certification (requiredbeforeexpirationof probation).
- F-80 Certificate of Fitness for Coordinator of Fire Safety and Alarm Systems in Homeless Shelters.
- Experienceworking forNAICAanda track recordof above-average performance reviews(preferred).
- Strong knowledge of DHS or similar regulatory frameworks.
- Excellent organizational communication and problem-solving abilities.
- Proficiencyin MS Office Suite.
- ProficiencyinCARES(preferred).
- Proven leadership conflict resolution and team management skills.
- Ability to implement andensure compliance withpoliciesandprocedures.
- Strong analytical organizational problem-solving skills and effective management skills.
- Must be able to read speak write and understand English for administrativepurposes.
- Must pass drug screening to beappointed.
- This position may be subject to a series ofscreeningsbefore and afterappointment.
