Position Overview

The Office Manager is responsible for overseeing the daily administrative operations of the office while serving as the primary point of contact for incoming phone calls visitors employees and vendors. Managing the companys main phone lines is a primary responsibility of this position and requires consistent availability professionalism and accurate call routing throughout business hours.

This position also provides administrative support to multiple members of the executive leadership team including managing schedules coordinating meetings and travel preparing documents tracking follow-up items and assisting with day-to-day administrative needs. The role requires strong judgment discretion organization and the ability to manage competing priorities in a fast-paced environment.

In addition the Office Manager maintains an organized and professional office environment coordinates office services and supplies supports new hire onboarding and assists with employee engagement and company culture initiatives.



Key Responsibilities

Phone and Front Desk Management

  • Serve as the primary operator for the companys main phone lines and ensure incoming calls are answered promptly and professionally.
  • Determine the purpose of each call provide accurate information when appropriate and direct callers to the correct employee or department.
  • Take clear and detailed messages when employees are unavailable and communicate messages promptly.
  • Monitor phone coverage throughout business hours and coordinate backup coverage when away from the front desk.
  • Greet and assist visitors employees applicants vendors and delivery personnel in a friendly and professional manner.
  • Notify employees promptly when visitors deliveries or incoming documents arrive.
  • Maintain office security by following visitor procedures monitoring access and issuing visitor badges as needed.
  • Keep the front desk lobby conference rooms and common areas organized and presentable.



Executive Administrative Support

  • Provide administrative support to multiple members of the executive leadership team.
  • Help coordinate internal and external meetings including agendas meeting spaces technology meals and materials.
  • Prepare edit and format correspondence presentations reports meeting materials and other business documents.
  • Process expense reports invoices purchase requests and other documentation.
  • Communicate and coordinate with employees customers vendors and other contacts on behalf of executive leadership.
  • Anticipate administrative needs and proactively address scheduling meeting travel and office-related issues.
  • Maintain confidentiality when handling sensitive company employee financial or executive information.
  • Complete special projects and other administrative assignments as requested.



Office Operations

  • Oversee daily administrative operations and address general office needs as they arise.
  • Manage incoming and outgoing mail packages deliveries and courier services.
  • Maintain office supply inventory and coordinate ordering tracking and distribution.
  • Coordinate with building management maintenance providers vendors and service technicians.
  • Submit and track office maintenance requests and follow through to ensure resolution.
  • Coordinate conference room scheduling meeting preparation and office events.
  • Maintain office procedures vendor contact lists emergency information and administrative records.
  • Support document preparation data entry filing scheduling and other administrative tasks as needed.
  • Assist with invoice processing purchase requests and expense documentation related to office operations.
  • Perform additional administrative duties special projects and other responsibilities as assigned based on business and office needs.
  • Help ensure uninterrupted front desk and phone coverage during business hours of 7:00 a.m. to 5:00 p.m. Monday through Friday.



Employee and Culture Support

  • Assist with new hire onboarding by preparing materials coordinating schedules arranging workspaces and helping employees navigate the office.
  • Coordinate with HR IT hiring managers and other departments to support a smooth first-day experience.
  • Assist the Culture Committee with employee events recognition activities celebrations and engagement initiatives.
  • Support internal meetings training sessions and company events by coordinating rooms materials meals and other logistics.
  • Serve as a reliable administrative resource for employees and direct questions to the appropriate department.



Qualifications and Skills

  • High school diploma or equivalent required; associate degree or additional administrative training preferred.
  • Three or more years of experience in office management executive administrative support reception or a related position preferred.
  • Previous experience supporting multiple executives or senior leaders strongly preferred.
  • Experience managing a multi-line phone system and handling a high volume of incoming calls strongly preferred.
  • Strong verbal and written communication skills.
  • Professional and courteous phone presence.
  • Excellent organizational scheduling and time-management skills.
  • Ability to manage multiple calendars competing priorities and frequent schedule changes.
  • Strong attention to detail and follow-through.
  • Ability to anticipate needs use sound judgment and independently resolve routine issues.
  • Ability to remain calm professional and service-oriented in a busy office environment.
  • Proficiency in Microsoft Office including Word Excel PowerPoint Outlook and Teams.
  • Ability to prepare professional correspondence reports presentations and meeting materials.
  • Ability to maintain consistent front desk and phone coverage during assigned working hours.
  • Ability to handle confidential and sensitive information professionally and discreetly.
  • Friendly responsive and customer-focused approach when working with executives employees visitors customers and vendors.
