Compensation:$24$27/hour
Position Description
TheOffice & Communications Coordinatorplays a key role in supporting the day-to-day operations of our office while contributing to the companys communications and marketing initiatives. This role works closely with executive leadership providing administrative and operational support while gaining hands-on experience across business operations executive support communications and community engagement.

The Office & Communications Coordinator will support the CEO and leadership team by coordinating schedules meetings events and office operations while alsoassistingwith social media communications materials and brand initiatives in partnership with the CMO and external consultants. Essential Functions
Office Operations& Executive Support:
Maintain a welcoming organized and professional office environment including opening the office each morning coordinating office needs and ensuring meeting spaces are prepared.
Serve as a professional point of contact for visitors vendors clients investors government officials and other external stakeholders.
Manage office operations including mail and packages supplies equipment needs vendor coordination office maintenance and general administrative requests.
Provide administrative support to the CEO and leadership team including calendar management meeting coordination travel arrangements and preparation of meeting materials.
Assistwith scheduling event coordination RSVPs andlogisticsfor company community and industry events.
Support employee engagement initiativesmaintaindigital files and records andassistwith contact management data entry document organization and special projects.
Communications & Marketing Support:
Support the CMO and external consultants in executing communications and marketing initiatives across digital and print channels.
Assistwith social media content creation and scheduling across relevant platforms including LinkedIn and other channels highlighting company news team accomplishments industry updates and community involvement.
Support the development of marketing materials presentations newsletters reports media kits proposals RFP materials and other companycollateral.
Assistwith content development Canva designs and other creative materials aligned with company branding.
Helpmaintaincommunications calendars organize marketing resources andidentifyopportunities to increase engagement visibility and community presence.
Organize event photos marketing files and communications resources to ensure materials are accessible and up to date.
Additional Responsibilities:
Support special projects and initiatives across the organization.
Assistteam members with administrative and operational needs to help meet deadlines and goals.
Represent the company professionally at meetings events and community engagements.
Perform other related duties as assigned.
Qualifications
Bachelors degree in marketing communications business journalism or a related field preferred.
12 years of experience in administrative support office operations communications marketing fundraising or a related area project experience will be considered.
Strong written and verbal communication skills with the ability to create professional thoughtful and engaging content across multiple platforms.
Strong organizational skills with the ability to manage multiple priorities meet deadlines andmaintainattention to detail.
Ability to exercise good judgment problem-solve take initiative and adapt in a fast-paced environment.
Professional demeanor with the ability to communicate effectively with individuals at all levels including executives clients vendors and community partners.
Ability to work independently while also collaborating effectively with leadership and team members.
Experience with Microsoft Office Suiterequired;familiarity with Canva Adobe Creative Suite CRM systems or other digital tools is a plus.
Ability tomaintainconfidentiality and handle sensitive information with professionalism.
Work Environment
This is an in-person role based in our Chicago office. The position requires regular interaction with leadership employees visitors vendors and community partners.
Occasional flexibilityoutside ofnormal business hours may berequiredfor company events meetings or special projects.
