Job Description:

This is an office and administrative support position for the Bureau of Maintenance and Operations located at MaineDOTs Headquarters in Augusta. This employee will be responsible for making independent decisions and carrying out a wide variety of complex clerical work in accordance with established processes and procedures. This person shall have the ability to identify the accuracy and completeness of the information that is presented for processing identify additional items that may be necessary and take steps to address those items. This position is responsible for the verification and prompt payment of paint and salt invoices which represent between 4000 and 5000 loads of salt and between $7-9 million in payments throughout the entire year along with delivery orders and journals. Training for Adobe Creative Suite will also be provided to enable this position to continue to provide ongoing support for the Bureaus work plan management and annual scheduling tool the M&O Calendar. Finally this position will involve routine customer service by answering the Bureaus main telephone lines and providing backup and support for the Bureaus clerical group.

KNOWLEDGES SKILLS AND ABILITIES REQUIRED:

  • Knowledge of modern office practices equipment graphics publication processes and internet-based information distribution.
  • Ability to prepare correspondence reports presentations forms and computerized documents.
  • Ability to perform administrative and secretarial functions manage records reconcile funds and process information accurately.
  • Ability to interpret and apply laws rules policies procedures and documentation requirements.
  • Ability to create informational materials update web content and use office technology effectively.
  • Ability to coordinate training communicate information clearly resolve routine problems and exercise sound judgment.
  • Ability toidentifyerrors analyze situations make recommendations and support team operations.

MinimumQualifications:(Entry level knowledges skills and/or abilities may beacquiredthroughBUTARENOTLIMITEDTOthe following coursework/training and/or experience.)

Training education or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex varied office support tasks and 2) the ability to use independent decision-making on the appropriate processes to follow information to process and actions to take in accordance with standard positions in this classification assume the qualifications of:Office Assistant IOffice Assistant II andOffice Associate I.

Licensing/Registration/Certification Requirements:(These must be met by all employees prior toattainingpermanent status in this class.)

Some positions may require possession of a valid Class B Maine Motor Vehicle Operators License.
