Job Summary
PURPOSE:The Jewish Boards Community Behavioral Health treatment programs provide compassionate high quality evidence-based services to individuals and families in the communities we serve. Our staff use a culturally affirming person centered approach to help individuals and their families develop skills and resources to improve overall functioning to instill hope and to strengthen resiliency. Our programs work closely with community partners to address health disparities in our neighborhoods while also celebrating the strengths and resilience of our OVERVIEW:The Office Assistant supports the program by carrying out tasks that ensure the clinic runs smoothly and we can provide quality services to our clients and ESSENTIAL FUNCTIONS:Provide support to Office Manager and clinic administrative staffAnswer incoming calls and make necessary outgoing calls for our providers. Taking messages as needed for in clients- insurance check collect and apply payments inform clinicians of clients arrivalScheduling/re-scheduling clients and maintaining scheduling calendars for clinic staffRecord copayments and private fees in Avatar systemVerify payment front logs with daily receipts on a daily basisEnter transportation data into the NYC PTAR system as neededAssist with charts/filing/scanning Photocopying and mail projectsAssist with coordinating Open Access: including explaining intake packets to clients assigning clients in Avatar systemTrack and anticipate clinic needs to order supplies accordinglyMaintaining the appearance of the reception area and waiting COMPETENCIES for the position include:Strong attention to detail and record keepingTeam player who functions well in a multi-disciplinary team environmentReliability and discretionAdaptabilityCommunication negotiation and relationship-building ManagementProblem solving skillsInitiativeEDUCATIONAL/TRAINING REQUIRED:High School Diploma plus 6-years of relevant work experience OR Bachelors degree plus 3-years of relevant work experienceEXPERIENCE REQUIRED/LANGUAGE PREFERENCE:Previous experience with medical billing and electronic case record keepingStrong computer skills (word excel databases etc)Aptitude with numbersCOMPUTER SKILLS REQUIRED:Working knowledge of Microsoft Office Ability to learn electronic health records and other software as requiredVISUAL AND MANUAL DEXIERITY:Able to read/input data and documents including spreadsheets reports and Electronic Health Records in printed form and on computer to input data into the Electronic Health applications of manual dexterity and hand-eye ENVIRONMENT/PHYSICAL EFFORTNoise level is consistent with levels usually present in an office education rehabilitation or health related environment when in present are consistent with those common to an office education rehabilitation or health related environment when in office.
