The Wyoming State Penitentiary is seeking an Office Assistant to join our team! This position provides comprehensive administrative and clerical support to the Warden. Responsibilities include managing day-to-day administrative operations coordinating assigned programs and projects and offering guidance to administrative staff.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed at this job level.


  • Independently composes and types correspondence related to the assigned office/ program area.
  • Reviews incoming correspondence applications etc.; initiates replies as appropriate; routes matters requiring action by staff; follows up to ensure actions are completed.
  • Compiles and types special reports by selecting relevant information from a variety of sources such as reports documents correspondence electronic files etc.
  • Performs specialized tasks relating to databases.
  • Serves as the point of contact for the assigned program.
  • Applies specific knowledge of work unit programs and activities.
  • Completes special projects for the program manager.
  • Participate in the development of department documents; provide guidance and technical assistance to the department.
  • Trains other staff or works as part of a project management team with managers and other professionals.
  • Responsible for customer service answers questions on departmental services and functions; assists the public; handles and adjusts customer complaints.
  • Interprets policies and procedures for employees or customers.

Qualifications


KNOWLEDGE:


  • Knowledge of administrative and clerical procedures and systems.
  • Knowledge of record-keeping and preparation of reports.
  • Knowledge of state governmental organizations.
  • Knowledge of the principles and methods of gathering information.
  • Knowledge of methods used to monitor and evaluate program delivery.
  • Knowledge of governmental procurement principles methods and procedures.
  • Knowledge of forms development techniques.
  • Knowledge of advanced research analysis and compilation of data.
  • Knowledge of agency-specific specialties.

MINIMUM QUALIFICATIONS:


Education:
Associates Degree (typically in Business)
Experience:
Acquired knowledge at the level of an Office Assistant I
OR
Education & ExperienceSubstitution:
1-3 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of anOffice Assistant I

Necessary Special Requirements


PHYSICAL WORKING CONDITIONS:


  • Typically the employee may sit comfortably to perform the work; however there may be some walking standing bending carrying light items driving an automobile etc.
  • Lifting/grasping up to 20 pounds on an occasional to regular basiswithout assistance
  • Walking up and down stairs on an occasional basis
  • Stooping bending kneeling and crouching on an occasional basis
  • Reaching on a regular basis
  • Typing/Repetitive motion on a frequent basis
  • Talking/hearing on a frequent basis
  • Seeing: the visual ability to perform an activity such as analyzing data and figures viewing a computer terminal and extensive reading
  • Pre-service training is required which includes Krav Maga defensive tactics.
