Job Description

KEY RESPONSIBILITIES:

The Office Assistant serves as a front-line customer service representative and provides general administrative and operational support to the Fulfillment Services team. Key responsibilities include:

  • Manage the customer service window and serve as a welcoming first point of contact for employees students visitors vendors and other walk-in customers.
  • Greet customers assess their needs provide assistance and direct or escalate requests to the appropriate staff member.
  • Monitor and triage Help Desk requests ensuring service needs are appropriately routed and addressed
  • Distribute Emory ID cards keys office supplies and other miscellaneous items while following established procedures.
  • Answer incoming phone calls respond to general inquiries take messages and route calls as appropriate.
  • Support the Dock Master by assisting with loading dock access for approved vendors deliveries and other authorized individuals as needed.
  • Assist with maintaining staff calendars scheduling and coordinating appointments or meetings as needed.
  • Maintain an organized professional and customer-focused service area.
  • Provide general administrative and office support including filing data entry recordkeeping document preparation and other routine tasks.
  • Assist Fulfillment Services staff with special projects and operational needs as assigned.
  • Perform other related duties and responsibilities as needed to support the daily operations of the department.
  • Under close supervision performs basic office administrative duties. Maintains files and records operates standard office equipment provides courier services handles general mailings and monitors supply inventories.
  • May use a computer to enter data verify and/or research information or generate reports.
  • May gather and collate information.
  • Sets up files and files documents or correspondence.
  • May process incoming mail by opening dating and distributing it to the appropriate employee.
  • Prepares and mails outgoing correspondence and information.
  • May greet visitors and answer and screen incoming telephone calls by providing information or taking messages and distributing them to the appropriate employee.
  • May type labels envelopes routine forms and correspondence.
  • Performs related responsibilities as required.

MINIMUM QUALIFICATIONS:

  • A high school diploma or equivalent.

PREFERRED QUALIFICATIONS:

  • Experience working in a university healthcare corporate facilities or other customer-focused environment.
  • Experience working at a reception desk service window help desk or similar high-traffic customer service operation.
  • Experience coordinating calendars processing service requests maintaining records or providing general administrative support.
  • Ability to remain calm professional and solution-focused when managing competing priorities or challenging customer interactions.

NOTE: Position tasks are required to be performed in-person at an Emory University location; working remote is not an option. Emory reserves the right to change this status with notice to employee.
