About the role

The Office Administrator is the primary point of contact for the West Coast office ensuring all frontofhouse operations run smoothly and professionally. Youll provide a wide range of administrative financial travel and facilities support to both corporate and sitebased teams helping to keep daily operations efficient and wellcoordinated.

Your work contributes directly to effective business operations organisational compliance and a positive experience for employees and visitors alike. This role is central to maintaining a wellrun office environment and supporting the broader team in delivering highquality outcomes.

About you

We are looking for an individual that is a motivated self-starter with demonstrated ability to manage a variety of responsibilities to keep our offices running smoothly. This position requires strong initiative proactivity and the ability to deconflict when required.

You will have prior experience in a similar position and possess excellent communication skills both verbal and written. You must also demonstrate strong systems experience and work well as part of a very busy and much relied on team working on complex maritime projects with best practice outcomes. You will have exceptional interpersonal influencing and negotiation skills to navigate communication across multiple internal and external stakeholders at all levels.

To be successful you will have the ability to maintain an Australian Defence Security Clearance

Responsibilities include but are not limited to:

  • Welcoming all visitors to our office;
  • Highly proficient in the use of Microsoft Office in particular Word and Excel;
  • Competent in IFS database system; training will be provided if required
  • Ability to pickup new systems easily
  • Strong interpersonal and communication skills;
  • A proactive and flexible approach to work;
  • Excellent organisational skills;
  • Ensure all meeting rooms are ready and properly fitted for our meetings;
  • Provide support to our Executive Assistant; and
  • Book travel and ensure all staff are kitted out for their travels
