Job Summary

We are seeking a highly organized and proactive Office Administrator to support our daily operations and enhance our workplace environment. This role is central to maintaining smooth office functionality supporting leadership and driving internal and external communicationsincluding social media and digital presence.

Key Responsibilities

Office Administration (50%)

  • Provide front office support including greeting visitors and managing incoming calls
  • Maintain a clean organized and professional office environment Manage office supplies kitchen inventory and vendor coordination
  • Handle mail distribution scanning copying and correspondence
  • Support meeting logistics conference room setup and internal events
  • Assist executives with scheduling calendar management and travel coordination.
  • Maintain accurate records files and confidential documents.
  • Track subscriptions memberships and administrative expenses

Communications & Social Media (15%)

  • Manage company social media platforms and content calendars
  • Create and publish engaging posts graphics and promotional materials
  • Assist with newsletters internal communications and announcements
  • Update and maintain company website content and basic SEO
  • Support digital tools such as QR codes and Linktree

Project & Event Support (15%)

  • Assist with company projects and initiatives to ensure timely completion
  • Coordinate company events retreats and team-building activities
  • Support customer outings industry events and registrations
  • Manage promotional items corporate gifts and employee recognition efforts
  • Collaborate with marketing partners and vendors

Additional Responsibilities (20%)

  • Handle ad hoc administrative tasks interruptions and special projects
  • Coordinate office improvements maintenance and renovations
  • Support community engagement and corporate initiatives

Qualifications

  • Minimum 1 year of relevant administrative or office experience
  • Strong written and verbal communication skills
  • Knowledge of social media platforms and content creation
  • Experience with Canva (preferred) and video editing (a plus) Proficiency in Microsoft Word and Excel
  • Ability to work across all levels of an organization
  • Strong organizational multitasking and problem-solving skills
