- Maintain clear professional and timely communication with customers insurance representatives Project Managers and other project stakeholders.
- Monitor active mitigation projects daily including job status work-in-progress documentation requirements and outstanding action items.
- Create and update preliminary estimates using industry-specific estimating software subject to Project Manager review and approval.
- Review job-site documentation for accuracy and completeness including photographs notes forms equipment records moisture documentation authorizations and supporting documents.
- Identify missing or incomplete documentation and follow up with Project Managers and field personnel.
- Maintain accurate and current job information within the companys project-management systems.
- Assist with estimate submission invoicing payment follow-up and insurance documentation.
- Work closely with assigned Project Managers to ensure every job file is properly documented from initial intake through final billing and closure.
- Provide customers with regular updates and help resolve routine questions or documentation requests.
- Collaborate with accounting production reconstruction and other departments as needed.
- Maintain the confidentiality of customer insurance financial and company information.
- Perform other administrative and project-coordination duties as assigned.
- High school diploma or GED required.
- At least one year of customer service administrative project-coordination or office experience preferred.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to prioritize responsibilities and manage multiple active files and deadlines.
- Strong follow-through and ability to work effectively with limited supervision.
- Proficiency with computers email Microsoft Office and web-based business applications.
- Experience with insurance claims restoration construction property management or estimating software is helpful but not required.
- Ability to learn company systems procedures and industry terminology.
- Ability to successfully complete a background check subject to applicable law.
