Position Summary

We are seeking an enthusiastic patient-focused and highly organized Front Desk & Optometric Technician to join our growing optometric practice. This dual-role position is ideal for an individual who enjoys both administrative and clinical responsibilities and is passionate about providing exceptional patient care.

As a key member of our team you will serve as both the welcoming face of the practice and an essential clinical support professional. You will assist patients throughout their entire visit-from scheduling appointments and checking patients in to performing diagnostic pre-testing and supporting the doctor during examinations. The ideal candidate is friendly detail-oriented reliable and thrives in a fast-paced healthcare environment.

Essential Responsibilities

Front Desk Responsibilities

  • Greet patients warmly and create a welcoming professional environment.
  • Check patients in and out efficiently while maintaining excellent customer service.
  • Schedule confirm and manage patient appointments.
  • Answer incoming phone calls emails faxes and patient inquiries professionally.
  • Verify insurance eligibility and benefits.
  • Collect patient information and ensure all required paperwork is completed accurately.
  • Maintain accurate patient records within the electronic medical record (EMR) system.
  • Process payments and assist with financial transactions as needed.
  • Coordinate patient flow to ensure efficient scheduling and minimal wait times.
  • Support daily office operations and administrative tasks.
  • Maintain confidentiality and compliance with HIPAA regulations.

Optometric Technician Responsibilities

  • Assist optometrists in delivering high-quality patient care.
  • Escort patients through the examination process with professionalism and empathy.
  • Perform diagnostic pre-testing procedures including but not limited to:
    • Visual acuity testing
    • Automated refracting
    • Visual field testing
    • Retinal imaging
    • Tonometry
    • Additional testing as directed by the doctor
  • Accurately document patient history and testing results in the EMR system.
  • Educate patients regarding eye health treatment plans and contact lens care.
  • Prepare examination rooms and ensure equipment is functioning properly.
  • Clean sanitize and maintain clinical equipment and work areas.
  • Assist with contact lens training and patient instruction when appropriate.
  • Maintain patient safety and infection control standards.

Customer Service Expectations

  • Deliver a patient-first experience at every interaction.
  • Demonstrate professionalism compassion and empathy with patients and coworkers.
  • Communicate clearly and effectively both verbally and in writing.
  • Resolve patient concerns promptly and courteously.
  • Represent the practice in a positive and professional manner.

Qualifications

Required

  • High School Diploma or equivalent.
  • Excellent customer service and interpersonal skills.
  • Professional appearance and demeanor.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail.
  • Strong organizational and multitasking abilities.
  • Ability to work efficiently in a fast-paced environment.
  • Dependable punctual and reliable.
  • Willingness to learn and accept ongoing training.

Preferred

  • Previous experience in an optometric ophthalmology medical or healthcare office.
  • Experience with Electronic Medical Records (EMR).
  • Knowledge of medical insurance verification procedures.
  • Bilingual communication skills.
  • Experience performing diagnostic pre-testing.

Physical Requirements

  • Ability to sit stand and walk for extended periods.
  • Ability to use computers phones and office equipment throughout the day.
  • Ability to lift up to 25 pounds occasionally.
  • Manual dexterity necessary to operate clinical testing equipment.
