Job Summary
Position Summary:
The overall responsibilities of the Materials Specialist are to ensure customer PO accuracy in the accounting system facilitate customer shipments receive incoming packing slips into the accounting system and provide any follow up that is required to ensure shipments/receipts of product.
Primary Duties and Responsibilities:
- Enter Customer Purchase Orders into the appropriate accounting system and ensure accurate pricing and need dates are recorded.
- Maintain month end shipping logs and communicate with internal Accounting/Production Control as well as the customers on any discrepancies.
- Receive packing lists into the accounting system to ensure accurate inventory and timely payment of invoice.
- Follow up on delivery schedules of items ordered and expedite as required.
- Follow up on back orders expedite with company and coordinate any special arrangements for delivery and communicate to department.
- Maintain the purchase order and filing systems as required.
- Maintain a positive work atmosphere by behaving and communicating in a manner that maintains positive relationships with customers clients co-workers and supervisor.
- Effectively communicate with customers to address any issues or concerns that may arise.
- Maintain proper documentation and record-keeping of all material transactions.
- Maintain a clean and organized warehouse ensuring that materials are stored in their designated locations.
- Assist in the resolution of any material shortages or quality issues that may arise.
- Assist in preparing and packing items for shipment including boxing labeling and creating shipping documents.
- Other Duties as assigned.
Required Skills:
- Strong organizational skills and attention to detail.
- Proficiency in using inventory management software and Microsoft Office Suite.
- Good communication skills both written and verbal.
- Ability to work independently and as part of a team.
- Strong math and organizational skills.
- Vendor Quality Experience preferred.
Education and Experience:
- High school diploma or equivalent.
- 0-1 years of experience in materials handling inventory management or a related field.
