The Role in Brief
The Marketing & Communications Associate provides administrative operational and project support to advance the work of the Marketing and Communications department.
You will coordinate departmental processes support college-wide events and marketing initiatives manage financial and administrative activities and serve as a key point of contact for internal and external stakeholders.
Through effective organization communication and collaboration you will help ensure efficient department operations successful project execution and positive experiences for students employees vendors and community partners.

What You Will Actually Do
Administrative & Operational Execution 40%
- Provide administrative support for the Marketing and Communications department.
- Manage correspondence scheduling meeting coordination office support activities and departmental records.
- Coordinate administrative processes including contracts letters of employment purchasing activities supply ordering and departmental support functions.
- Process invoices payments budget documentation and financial transactions in accordance with established procedures.
- Maintain accurate documentation and records to support departmental operations.
Project & Workflow Management 25%
- Coordinate logistics timelines resources and deliverables for marketing projects college-wide events and departmental initiatives.
- Support event planning and execution by coordinating vendors registrations communications materials and operational details.
- Assist with project timelines follow up on assigned activities and communicate progress to support successful project completion.
- Coordinate promotional item requests inventory vendor communication and event-related materials for college programs and initiatives.
Client/Customer Service & Communication 20%
- Serve as a primary point of contact for routine inquiries from students employees vendors and external stakeholders.
- Provide professional customer service by responding to questions directing inquiries and coordinating appropriate follow-up.
- Communicate with vendors committees and internal partners to support marketing projects events purchasing activities and departmental initiatives.
- Prepare coordinate and distribute information to support effective collaboration among stakeholders.
Critical Thinking & Decision-Making 10%
- Apply judgment to prioritize workload manage competing deadlines and coordinate multiple assignments.
- Review invoices purchasing documentation and budget information to identify discrepancies and coordinate resolution.
- Evaluate routine questions and requests determine appropriate next steps and escalate issues when necessary.
- Identify process improvements that enhance departmental efficiency and customer experience.
Additional Responsibilities 5%
Perform other duties as assigned in support of departmental and institutional operations.
What You Need to Succeed
Required Experience
Two years of progressively responsible experience providing administrative support project coordination office operations marketing support communications support or a related area.
OR
An equivalent combination of education training and experience related to the position may be considered.
You Will Also Need
- Demonstrated ability to coordinate multiple priorities manage deadlines maintain accurate documentation and support projects or operational processes in a fast-paced environment.
- Strong verbal and written communication skills with the ability to provide professional customer service and build effective working relationships with internal and external stakeholders.
- Demonstrated ability to process financial and administrative transactions and perform reconciliations in a fast-paced high-volume environment.
- Ability to accurately code transactions to multiple general ledger (G/L) accounts to support departmental operations.
- Proficiency with common office technology tools including Google applications and other software systems used for communication documentation tracking and reporting.
Conditions of Employment
Work Authorization: Candidates must be legally authorized to work in the United States on a permanent basis. Verification of employment eligibility will be required at the time of hire. Visa sponsorship is not available.
District-Wide Travel: Engage in district-wide travel to support students and foster collaboration with Gateway faculty and staff.
Background Check: Employment is contingent upon an acceptable background check.
Schedule: Flexibility is needed to accommodate day evening and weekend student and business needs.
