Job Summary

MalaceHR is seeking a dependable and customer-focused Mailroom Associate to support operations at a corporate client site in Nashville TN. This role is ideal for someone who thrives in a fast-paced environment enjoys interacting with professionals at all levelsincluding high-profile executivesand can manage multiple responsibilities with accuracy and efficiency.

Key Responsibilities
  • Receive sort and distribute incoming mail and packages (USPS FedEx UPS) on the same day of receipt
  • Process outgoing shipments and ensure proper labeling and postage
  • Pick up outgoing mail from designated mail stops throughout the facility
  • Resolve issues related to incorrect delayed or returned mail
  • Maintain adequate inventory of mailroom and office supplies
  • Stock copy rooms and maintain printers/copiers (paper toner minor troubleshooting)
  • Support breakroom upkeep including restocking coffee supplies and maintaining cleanliness
  • Conduct routine facility walks and report maintenance issues via Corrigo work orders
  • Respond to and manage mail-related service tickets within established timelines
  • Track and report daily workflow and volume metrics; submit weekly reports to leadership
  • Assist with employee office moves and setup requests as directed
  • Follow established procedures and contribute to process improvements
  • Perform additional duties as assigned

Qualifications
  • High school diploma or equivalent required
  • 12 years of related experience preferred (mailroom office services or similar)
  • Strong customer service skills with a white-glove service mindset
  • Professional demeanor with ability to interact with corporate executives
  • Highly organized with strong attention to detail and time management skills
  • Self-motivated and able to multitask in a fast-paced environment
  • Basic knowledge of office equipment (copiers printers)
  • Experience with Corrigo or similar systems is a plus (not required)
  • Valid drivers license clean driving record and reliable transportation

Physical Requirements
  • Ability to stand and walk for extended periods throughout the day
  • Frequent use of hands and coordination for sorting and processing tasks
  • Lift and carry:
    • Up to 10 lbs regularly
    • Up to 25 lbs frequently
    • Up to 50 lbs occasionally
