POSITION SUMMARY

We are seeking a highly organized and execution-focused Executive Legal Assistant to support a fast-paced administrative services organization serving multiple health care entities.

This role is ideal for someone who thrives in a structured environment and takes pride in ensuring that complex workflows run smoothly. You will work directly with the General Counsel and serve as the central coordination point for all legal and legal operations matters ensuring that nothing is missed delayed or mishandled.


DUTIES AND RESPONSIBILITIES

You will support and coordinate legal work across multiple areas including:

  • Records requests
  • Claims and pre-litigation matters
  • Contracts
  • Litigation
  • Compliance and HR-related matters
  • Urgent and ad hoc legal issues

Responsibilities

  • Manage and monitor all legal requests through a centralized intake system
  • Ensure matters are properly captured categorized and tracked
  • Maintain accurate records of status deadlines and documentation
  • Drive follow-ups and ensure timely progression of all matters
  • Coordinate across internal teams (Operations HR Compliance) and client facilities
  • Support document flow and logistics with outside counsel and insurers
  • Draft review and revise a variety of legal documents; manage templates and support contract execution workflows
  • Manage litigation and employment-related claims including investigations/fact-finding file review discovery coordination and matter tracking
  • Organize and maintain litigation claims and contract files; prepare timelines summaries and document sets for internal and outside counsel review
  • Coordinate records requests subpoenas and document production workflows with internal and external stakeholders and outside counsel
  • Support claims documentation insurance reporting and communication with insurers and external parties
  • Assist with compliance and regulatory support including filings amendments and required paperwork with regulatory bodies
  • Provide administrative support to in-house counsel (e.g. scheduling correspondence file organization) and act as a point of contact for departmental document tracking and updates
  • Collaborate cross-functionally (e.g. HR Compliance Operations) and support ongoing and special legal projects.

KNOWLEDGE SKILLS ABILITIES & QUALIFICATIONS

  • Bachelors degree in a related field or equivalent experience
  • At least 5 years of experience as an executive legal assistant legal coordinator or similar role; law firm and/or in-house litigation experience preferred
  • Employment law experience required (minimum 1 year)
  • Knowledge of civil procedure and experience supporting discovery requests
  • Experience supporting litigation claims and/or contract workflows; health care industry experience preferred
  • Strong organizational skills with the ability to manage complex cases/projects multiple priorities and deadlines; strong follow-through and attention to detail
  • Proficiency with Microsoft 365 applications including Teams Sharepoint; experience with case management or ticketing systems (Zendesk or similar) a plus

Role Structure

  • Reports directly to the General Counsel
  • Operates within a structured legal operations system

Salary Range: $75000 - $80000.00* based on experience

*The salary range is the one that Pharos Admin Services reasonably expects to pay for this position. The actual salary will depend on several factors (e.g. experience education qualifications etc.).
