LOCATION: Any APC Center of Excellence (COE) location


SUMMARY: The Leave Administrator coordinates and administers leave requests and workplace accommodations including those arising under the Family and Medical Leave Act Americans with Disabilities Act Pregnant Workers Fairness Act state and local leave laws short-term and long-term disability plans and other approved leave programs. This position provides comprehensive case management ensures compliance with applicable employment laws supports positive and consistent employee experience assists employees and managers through the leave process and maintains confidentiality of sensitive employee and medical information.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Serve as the primary subject matter expert and resource for leave of absence disability accommodation and related time-off programs providing guidance to employees managers HR partners and other stakeholders under the direction of HR leadership and legal counsel.
  • Interpret and apply applicable federal state and local leave disability accommodation wage and hour privacy and employment laws as well as company policies including FMLA ADA USERRA the Pregnant Workers Fairness Act Pregnancy Discrimination Act HIPAA and related requirements.
  • Administer end-to-end leave and accommodation processes including employee intake eligibility review required notices and documentation medical certification approval or denial recommendations leave designation tracking of intermittent or reduced schedule leave and return-to-work coordination.
  • Communicate with employees throughout the leave and accommodation process to explain responsibilities documentation requirements timelines benefit impacts pay considerations and return-to-work expectations while maintaining appropriate confidentiality.
  • Calculate invoice and collect benefit premiums from employees throughout the leave period including coordinating arrears balances repayment schedules payroll deductions and benefit continuation tracking.
  • Partner with HR payroll benefits providers disability carriers and legal counsel as needed to coordinate pay benefits premium administration disability claims accommodations case strategy and timely issue resolution.
  • Maintain complete accurate and confidential case records including medical documentation leave usage case activity approvals restrictions accommodations and related correspondence in accordance with legal requirements and documentation best practices.
  • Maintain accurate leave benefits payroll and case status information in applicable HR information systems payroll systems benefit administration platforms disability carrier portals and leave management/vendor systems.
  • Facilitate the ADA and PWFA interactive processes and other workplace accommodation requests including gathering appropriate documentation evaluating restrictions coordinating manager communication and supporting legally sound accommodation recommendations under the direction of HR leadership and legal counsel.
  • Manage short-term and long-term disability coordination and vendor relationships ensuring disability claims are appropriately aligned with FMLA medical leave accommodation and return-to-work processes.
  • Prepare and present leave disability and accommodation reporting metrics and analytics; identify trends compliance concerns process gaps and opportunities for improvement.
  • Support the development revision and delivery of leave administration policies procedures communications and compliance training to ensure alignment with legal requirements business needs and employee experience expectations.
  • Monitor changes in federal state and local leave and accommodation requirements and recommend policy process communication or training updates to maintain compliance and administrative consistency.
  • Perform other related duties as assigned or required.

Requirements

QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE

Bachelors degree in Human Resources Business Administration or a related field from four-year college or university; and three to five years related experience and/or training; or equivalent combination of education and experience.

Strong working knowledge of applicable leave disability accommodation privacy benefit coordination and employment laws including FMLA ADA USERRA the Pregnant Workers Fairness Act Pregnancy Discrimination Act HIPAA and federal state and local leave requirements.

Professional certification such as SHRM-CP SHRM-SCP PHR CEBS CLMS or a leave disability benefits or absence management certification is preferred.


LANGUAGE SKILLS

Excellent written and verbal communication skills with the ability to communicate clearly and professionally with employees managers HR payroll legal counsel benefits providers and disability carriers.


MATHEMATICAL SKILLS

Ability to accurately calculate benefit premiums due for employees on leave of absence including prorated deductions arrears balances repayment schedules and invoice amounts. Ability to apply fractions percentages ratios and proportions to practical benefit and payroll situations. Ability to compile review and analyze leave and benefits data identify trends or discrepancies and use basic statistics and reporting to support accurate administration compliance and decision-making.


REASONING ABILITY

Strong analytical problem-solving organizational and attention-to-detail skills including the ability to assess case information identify procedural or compliance issues establish facts draw valid conclusions and recommend appropriate solutions.


WORK SCHEDULE/TRAVEL

Regular business hours are generally expected; however occasional flexibility may be required to support employees managers HR partners and company locations across shifts or time zones. Occasional travel to company locations may be required.


PHYSICAL DEMANDS

While performing the duties of this job the employee is regularly required to talk or hear. The employee frequently is required to sit at a desk and work on a computer. The employee is occasionally required to stand walk and reach with hands and arms.
