Job Description Summary

Responsible for managing the Universitys leave Workers Compensation and medical accommodation programs. Recommends program improvements to management by studying employee needs trends legal developments and operational requirements. Supports management decision-making by analyzing program options operational impacts and potential costs. Provides consultation to faculty staff and administrators regarding University policies and procedures. Supervises trains and supports assigned leave administration staff; establishes work priorities reviews complex cases and ensures operational coverage and quality.

Job Description

Essential Functions:

  • Manages the daily administration of federal state and University-sponsored leave and time-off programs including FMLA disability Workers Compensation parental leave and paid time off. Ensures compliance with all legal requirements by studying existing laws and regulations and updates to legal requirements.

  • Responsible for leading the Universitys leave disability Workers Compensation and return-to-work programs; coordinating workplace accommodation requests received through the Absence intake email; and serving as the Universitys liaison to the Child Care Center.

  • Researches and recommends resolution of complex leave disability Workers Compensation and return-to-work matters and escalates significant legal policy or employee-relations issues as appropriate.

  • Responsible for managing system updates and improvements including semiannual upgrades. Administers and supports Workday Absence Management and related systems including system upgrades testing data validation reporting process improvements internal auditing and implementation of new functionality. Coordinates with HRIS and Payroll to ensure the effective administration of leave-related processes. Evaluates recommends and leads new initiatives. Oversees the reconciliation of leave timekeeping payroll and related HR data and coordinates the resolution of discrepancies.

  • Audits reports and summarizes leave disability Workers Compensation return-to-work accommodation-intake and Child Care Center data for University leadership as applicable.

  • Manages website information related to leaves of absence.

  • Prepares communications related to leaves of absence.

  • Develops maintains and delivers training and educational resources for managers supervisors employees and HR colleagues on the Universitys leave administration program applicable employment laws and leave-related policies and procedures including new-supervisor and extended-time-off training.

  • Manages the Leave of Absence Specialist position; serves as back-up for this position.

  • In partnership with the AVP for Employee Experience serves as the Universitys liaison to the Child Care Center including reviewing invoices and billing information coordinating monthly operational meetings verifying employee eligibility and discounts maintaining required communications and calendars coordinating facilities requests and affiliate access and supporting related events reporting and administrative processes.

  • Evaluates applicable out-of-state requirements including paid family and medical leave and PTO payout requirements.

  • Evaluates leave and time-off policies and recommends updates as needed.

  • Prepares executive summaries for leave-related proposals updates and notifications.

  • Performs other related duties as assigned.

Required Education Knowledge Skills Abilities:

  • Bachelors degree plus two or more years of relevant experience in employee benefits leave administration human resources operations or a related area or an equivalent combination of education and experience.

  • Knowledge of employee benefits or leave administration and the ability to develop knowledge of FMLA disability Workers Compensation paid leave and other applicable requirements.

  • Ability to understand interpret and advise on the application of governmental and University policies procedures and program requirements.

  • Ability to recognize workplace accommodation requests address routine matters within established guidelines and appropriately refer other requests to OIE.

  • Ability to communicate effectively with employees supervisors departments vendors and institutional partners both orally and in writing.

  • Ability to independently research issues analyze information exercise sound judgment and make effective recommendations.

  • Ability to manage sensitive medical employment and personal information with tact and confidentiality.

  • Ability to work effectively with a broad range of constituencies in a diverse community.

  • Ability to develop and deliver employee and supervisor training written guidance and process documentation.

  • Ability to supervise train support and establish priorities for assigned staff.

  • Proficiency with Microsoft Office and the ability to use HR information systems reporting tools and other relevant technology.

  • Ability to review and reconcile leave payroll timekeeping and other HR data and resolve discrepancies.

  • Ability to manage multiple priorities meet deadlines and maintain accuracy in a high-volume environment.

Preferred Education Knowledge Skills Abilities:

  • Experience administering leave disability Workers Compensation or related HR processes.

  • Experience working in a higher education environment.

  • Experience using HR information systems human capital management systems or talent-management platforms commonly used in higher education such as Workday PeopleAdmin Oracle PeopleSoft Ellucian Banner or a comparable system to support faculty and staff HR processes benefits administration position management workflows reporting or employee records.

  • Experience developing and delivering employee education on benefits or other HR programs including in-person or virtual presentations workshops communications and supporting materials.

  • Experience coordinating work with Payroll HRIS vendors and other organizational partners.

  • Experience reviewing HR data resolving discrepancies supporting system testing or improving administrative processes.

  • Demonstrated leadership potential through project leadership process improvement training or service as a subject-matter resource.

Physical Requirements and Environmental Conditions:
