Job Summary:
The IT Administrative Coordinator under general direction performs advanced administrative operational and coordination duties in support of the Information Technology Department. This position manages complex administrative processes coordinates departmental activities supports budget and procurement functions maintains records and documentation and serves as a key liaison among IT leadership staff vendors and internal City departments. The IT Administrative Coordinator exercises sound judgment maintains confidentiality and helps ensure efficient departmental operations consistent with City of Greeley standards.
Experience:
Minimum Requirements
Associate degree in a related field and progressively responsible administrative or coordinator-level experience.
Three (3) years of increasingly responsible administrative support office coordination executive support departmental coordination or related experience.
Possession of a valid drivers license.
OR
Any combination of related education experience certifications and licenses that will result in a candidate successfully performing the essential functions of the job.
Preferred
Bachelors degree in business administration public administration information systems office administration or a related field.
Experience supporting budget purchasing contracts or records functions.
Experience in a local government public-sector or technology environment.
Knowledge Skills & Abilities:
Knowledge of advanced administrative practices office management methods records management and business correspondence.
Knowledge of municipal administrative processes budgeting procurement and contract support practices.
Knowledge of standard office software and business systems including word processing spreadsheets presentation software email calendaring and document management tools.
Ability to organize prioritize and coordinate multiple assignments with competing deadlines and changing priorities.
Ability to prepare clear accurate and professional correspondence reports records and supporting documentation.
Ability to interpret and apply policies procedures and administrative guidelines.
Ability to establish and maintain effective working relationships with elected officials City leadership employees vendors and the public.
Ability to maintain confidentiality and exercise sound independent judgment.
Strong customer service communication and interpersonal skills.
Strong attention to detail problem-solving ability and process orientation.
Essential Functions:
Coordinates and administers a wide range of departmental administrative functions projects schedules and communications for the Information Technology Department.
Prepares reviews tracks and maintains correspondence reports contracts records invoices purchase requests budget documents meeting materials and other departmental documentation.
Supports budget development and administration activities including expenditure tracking invoice reconciliation purchasing coordination and maintenance of financial and procurement records.
Coordinates vendor communications service documentation renewals quotes contracts and related administrative processes in accordance with City policies and procedures.
Maintains official department files retention practices inventories and other records to support compliance audit readiness and operational continuity.
Schedules meetings prepares agendas compiles presentation or briefing materials records action items and follows up on assignments or deliverables as needed.
Serves as an administrative point of contact for internal departments and external partners regarding departmental processes documentation and routine information requests.
Assists with coordination of onboarding offboarding training logistics and other personnel-related administrative tasks in collaboration with Human Resources Finance and department leadership.
Monitors and improves administrative workflows identifies process improvement opportunities and implements standard procedures to increase efficiency and consistency.
Supports the preparation of reports metrics summaries and presentations for leadership operational planning budget review and Citywide coordination.
Exercises discretion in handling sensitive confidential and proprietary information.
Performs other duties as assigned consistent with the scope and level of the position.
Supervisory Responsibilities
This position does not have regular direct supervisory responsibilities.
Travel:
Category A - Standard Local Travel: This position requires occasional local travel within the County. Employees may be expected to walk or drive short distances to attend meetings trainings or perform work at other City buildings or partner sites.
Work Environment and Physical Requirements:
Work Environment
Primarily based in a standard office environment which involves working at a desk or workstation for extended periods.
The noise level is generally low to moderate consistent with a typical office setting.
Physical Requirements
Requires minimal physical effort typical of clerical work including occasional walking or standing and the ability to move throughout the office environment.
Ability to perform repetitive motions such as typing writing and operating standard office equipment.
Ability to lift or carry materials and equipment weighing up to 15 pounds occasionally.
Ability to maintain focus attention and productivity for extended periods while performing job-related tasks.
Infrequent need to bend stoop squat climb stairs push or pull or reach above shoulder level.
Sufficient visual acuity to read printed and digital documents view computer screens and perform detail-oriented work.
Adequate hearing to engage in verbal communication in person by phone or in virtual settings.
