Job Summary

Lewis Rice LLC a large downtown law firm has an immediate opening for a full-time IP Docketing Specialist. This position will be responsible for assisting with the maintenance of the firms IP database generating and formatting reports responding to inquiries from attorneys and legal staff assisting with IP related projects and working closely with IP department attorneys paralegals and staff. ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Assist with the management and maintenance of the firms IP database including US and foreign patent trademark and copyright matters patent annuities/maintenance fees and all related tasks
  • Review and distribute IP related notices and communications to attorneys paralegals and staff
  • Upload IP related notices and communications to database as needed
  • Proactively close docket reminders and deadlines based on instructions from attorneys and paralegals and review of IP related notices and communications
  • Update docket records to include attorney and paralegal remarks as needed
  • Generate and format reports for internal and external use including trademark renewal reports
  • Respond to status inquiries from attorneys paralegals and staff
  • Review paper and electronic files to obtain copies of documents as needed for internal and external inquiries
  • Monitor actions in database and send reminders to the attorneys and paralegals on deadlines and outstanding tasks
  • Conduct status checks of pending applications and trademark watches and update docket records
  • Contact USPTO Copyright and Secretary of State offices by phone and email to confirm statuses of filings and renewals
  • Assist with database enrichment and audit projects as needed
  • Assist with new record intakes and outgoing file transfers
  • Assist with other special projects and administrative tasks as needed

EDUCATION AND EXPERIENCE REQUIREMENTS
  • Bachelors Degree and/or Paralegal Certificate or equivalent combination of education and related experience
  • A minimum of three years of docketing experience and/or IP experience preferred
  • Experience with Anaqua preferred

KNOWLEDGE SKILLS AND ABILITIES REQUIREMENTS
  • Strong attention to detail and organizational skills required
  • Strong interpersonal verbal and written communication skills
  • Ability to problem solve and use good judgment in taking initiative to ask for direction or clarification when appropriate
  • Ability to build and maintain positive and collaborative relationships with IP department attorneys paralegals and staff
  • Ability to use sound judgment and discretion in dealing with highly confidential information
