Job Summary
The Intake Coordinator is a key member of our Home Office team responsible for the intake process of new patients to our Clinics in Oklahoma and Texas. This role serves as the face of the organization and often the first point of contact for potential clients. Working closely with Clinic Management and Marketing the Intake Coordinator will receive incoming inquiries related to our services and qualify the information for further review by our Treatment teams.
JOB SPECIFIC FUNCTIONS:
- Process incoming referrals into the CRM and EMR systems
Facilitate the intake process for new patients ensuring all necessary documentation is completed accurately and efficiently
Collaborate with clinical and administrative teams to coordinate assessments evaluations and treatment plans for each child being considered for our programs
Assist families with insurance verification and authorization processes to secure necessary coverage for ABA services
Coordinate schedules for complimentary consultation evaluations and start dates
Coordinate Financial Plan of Care with Billing Department
Manage new patient intake from initial contact to first date of service
Respond to Clinic Leadership requests and inquiries escalating as necessary
Collaborate with our marketing team to develop and maintain outreach materials and resources for prospective patients

Qualifications :
Education: An associates degree (or in progress) is required; a Bachelors Degree preferred with a concentration in a Healthcare or Business related field.
Experience in health care health insurance and/or medical terminology preferred.
Prior experience with CRM software strongly desired.
Computer-literate with the ability to learn new software applications.
Professionally skilled in verbal and written communications.
Meticulously organized and detail-oriented in the approach to medical record reviews.
Demonstration of professional behavior and strong interpersonal skills.
Ability to receive and deliver constructive feedback.
Empathy and perspective taking of patient staff and families.
Appropriate discretion to maintain confidentiality.
Demonstrates commitment professional growth competency and actions consistent with agency mission code of conduct and agency standards.
