Job Summary
We are hiring Information and Record Clerks All Other for one of our clients in Ocoee FL.
Job Description:
The submitted candidate(s) must be able to perform the following duties and/or tasks:
- Document review: Review physical and digital records for completeness accuracy and relevance; identify document types and groupings; flag missing duplicate or inconsistent records for follow up.
- Preparation for scanning: Remove staples paper clips and bindings; repair damaged documents as needed; organize records in logical order (chronological alphabetical or by FPID SPN WPI number); insert separator sheets where applicable; ensure legibility and readiness for high quality scanning.
- Document scanning: Operate appropriate scanning equipment and apply required resolution standards; convert physical records into approved digital formats (e.g. PDF); ensure image clarity correct orientation and completeness of scanned files.
- Indexing and data entry: Assign and verify metadata (e.g. name date project number document type); input and validate indexing data in designated systems or databases; maintain consistency with naming conventions and filing structures.
- Records search and retrieval: Locate and retrieve records from archived databases repositories or storage systems; validate results against request criteria; provide timely access to requested records.
- Uploading and application integration: Upload digitized documents to designated applications EDMS or case management platforms; ensure proper file association tagging and accessibility; troubleshoot upload or ingestion errors.
- Quality Assurance (QA) and Quality Review (QR): Perform QA checks to confirm clarity completeness and accuracy of scanned images; conduct secondary QR to validate indexing data entry and classification; document and resolve discrepancies.
- Application and workflow coordination: Coordinate with application owners stakeholders and departments to ensure proper document flow and system alignment; track document status; support system related issues and process improvements.
- Compliance and confidentiality: Ensure all processes comply with records management policies retention schedules and regulatory requirements; maintain confidentiality and secure handling of sensitive information.
- Records retention and destruction: Identify records eligible for destruction based on approved retention schedules and applicable laws; carry out secure destruction in accordance with Florida Public Records Law and state guidelines including completion of the Records Disposition Request form; maintain documentation and certificates of destruction for audit purposes.
Skills Required:
- Knowledge of records management principles lifecycle management and retention schedules.
- Knowledge of document imaging systems electronic document management systems (EDMS) and case management platforms.
- Knowledge of applicable regulations including Florida Public Records Law and data privacy requirements.
- Knowledge of quality assurance standards and data integrity practices.
- Knowledge of file formats scanning resolutions and indexing methodologies.
- Skilled in maintaining strong attention to detail for document review indexing and quality control.
- Skilled in performing accurate data entry and typing with a high degree of precision.
- Skilled in operating scanning equipment and related software efficiently.
- Skilled in effective organization and time management to handle high volume workloads.
- Skilled in analytical thinking and problem solving to identify discrepancies and resolve issues.
- Skilled in communication to coordinate effectively with team members and stakeholders.
- Ability to handle and process large volumes of records within established timelines.
- Ability to maintain confidentiality and exercise discretion with sensitive information.
- Ability to follow standardized procedures while adapting to system or workflow changes.
- Ability to work both independently and collaboratively in a team environment.
- Ability to lift move and manage physical records weighing up to 30 pounds (as applicable).
- Ability to learn and navigate multiple software systems and databases.
Experience Required:
- 2 years records/document management retention quality assurance and quality control.
Education Required:
- Associates degree in science in Library and Information Technology Library and Archives Assisting Archival Studies Records/Information Management or another related field. Or equivalent work experience.
Work hours:
- Monday Friday 8:00 AM 5:00 PM.
