Position Overview

Tekberry is seeking an experienced and highly independent Administrative Operations Specialist to support researchers and staff within a fast-paced academic environment. This role provides comprehensive financial procurement travel administrative and office operations support while ensuring all requests are completed accurately proactively and on time.

The ideal candidate is a customer service-oriented professional with significant experience using Stanford administrative and financial systems and the ability to work independently with minimal supervision. This role requires strong communication skills exceptional attention to detail and the ability to manage multiple priorities while supporting faculty researchers and staff.

Candidates must have direct experience using Stanford administrative and financial systems.

Responsibilities Financial & Procurement Operations
  • Create and manage purchase orders from initiation through payment completion
  • Establish new suppliers and vendors within Stanford systems
  • Submit invoices and monitor payment status to ensure timely processing
  • Track outstanding transactions and proactively follow up through resolution
  • Make authorized PCard purchases and process reconciliations
  • Coordinate and book TCard travel arrangements
  • Reconcile TCard expenses and submit required supporting documentation
  • Prepare and process employee reimbursements for travel and business expenses
  • Process reimbursements related to research team purchases and activities
  • Ensure all purchases comply with Stanford policies and financial procedures
  • Maintain accurate transaction records and supporting documentation
Administrative & Research Support
  • Provide general administrative support to researchers and staff
  • Serve as a resource for administrative processes and transaction-related questions
  • Coordinate and manage requests from multiple stakeholders
  • Monitor requests through completion and communicate status updates
  • Maintain organized files records and documentation
  • Support faculty researchers and staff in a fast-paced environment
Office Operations
  • Assist with daily office operations and facilities coordination
  • Submit work orders for maintenance repairs and facilities-related needs
  • Order office supplies and monitor inventory levels
  • Coordinate deliveries and office-related purchases
  • Schedule conference rooms and meeting spaces
  • Coordinate catering beverages and snacks for meetings and events
  • Assist with departmental events workshops and gatherings as needed
  • Provide office access support as authorized
Required Qualifications
  • Minimum of 1 year of direct Stanford administrative experience
  • Demonstrated experience using Stanford systems including:
    • PCard
    • TCard
    • Reimbursement processing
    • iProcurement
    • Purchase Orders
    • Supplier setup
    • Invoice processing
  • Experience supporting multiple stakeholders in a fast-paced administrative environment
  • Excellent written and verbal communication skills
  • Strong customer service orientation and professionalism
  • Proven ability to independently manage assignments from initiation through completion
  • Strong organizational skills and exceptional attention to detail
  • Ability to prioritize competing priorities and meet deadlines
  • Proficiency with:
    • Microsoft Outlook
    • Slack
    • Google Docs
    • Google Sheets
  • Ability to work effectively both independently and collaboratively
Preferred Qualifications
  • Associates degree preferred
  • Additional administrative financial or operational experience within Stanford University strongly preferred
  • Experience supporting faculty researchers or academic departments
  • Familiarity with Stanford financial and administrative policies and procedures

  • Fast-paced academic environment requiring flexibility and excellent time management
