Job Summary:

Human Resources Coordinator supports the day-to-day execution of core HR processes. This role will focus on recruiting coordination onboarding execution employee data maintenance and administrative support across the employee lifecycle. The ideal candidate will be detail-oriented service-minded and capable of ensuring a smooth and consistent experience for candidates new hires employees and internal stakeholders.

This position will report directly to the Director of Human Resources.

Essential Functions:

Recruiting & Hiring Coordination:

  • Coordinate recruiting activities including scheduling interviews maintaining candidate communications and supporting hiring managers throughout the process.
  • Process employment offers support background checks and reference checks and maintain accurate applicant tracking records.
  • Facilitate culture and benefits conversations with candidates and help ensure a positive timely and organized hiring experience.
  • Support job posting administration and other recruiting coordination tasks as needed.

Onboarding & Day 1 Experience:

  • Own onboarding execution and Day 1 coordination for new hires including scheduling paperwork orientation logistics and required system setups.
  • Complete and track onboarding requirements such as I-9 processing HRIS document uploads training assignments and job description acknowledgements.
  • Coordinate onboarding follow-up activities including 30-day check-ins and required communications.
  • Identify opportunities to improve onboarding consistency and escalate recommendations to HR leadership.

HR Operations & Administrative Support:

  • Maintain and update employee records within ADP HRIS and related systems ensuring accuracy and completeness.
  • Support employee lifecycle transactions including employee changes documentation and record maintenance.
  • Maintain organized HR files and assist with standard HR correspondence forms and employee documentation.
  • Prepare routine HR reports data audits and workforce metrics for HR leadership.
  • Assist with the preparation and distribution of HR communications announcements and employee notices.
  • Provide general administrative support to the HR team to ensure smooth day-to-day operations

Payroll & Benefits Support:

  • Provide front-line support for employee questions related to payroll and benefits routing issues to the appropriate resource as needed.
  • Assist with limited payroll and benefits coordination tasks data validation and related administrative support.
  • Maintain confidentiality and ensure accuracy when handling payroll- or benefits-related information.

Employee Support Engagement & Compliance:

  • Support employee engagement activities recognition efforts and other HR-led culture initiatives.
  • Assist with documentation and coordination related to employee relations matters as directed by HR leadership.
  • Track completion of required training certifications and compliance documents and support audit preparation through accurate recordkeeping.
  • Escalate questions issues or process concerns to the appropriate HR team member in a timely manner
  • Demonstrate a proactive approach to identifying process improvements and escalating ideas to HR leadership

Additional Responsibilities:

  • Support special projects and additional initiatives as assigned.
  • Perform other duties as needed to support the Human Resources function and organizational goals.

Job Qualifications and Requirements:

  • 13 years of experience in Human Resources coordination administration or support.
  • Bachelors degree in Human Resources Business Administration or a related field preferred but not required.
  • SHRM-CP PHR or other relevant HR certification is preferred
  • Experience with ADP HRIS is preferred; experience with HRIS systems is strongly desired.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Proficiency in Microsoft Office Suite including Word Excel Outlook and PowerPoint.
  • Knowledge of HR best practices and employment law fundamentals is a plus.
  • Ability to manage multiple tasks and follow through on routine processes with accuracy and consistency.
