POSITION: CLERK

DEPARTMENT: HUMAN RESOURCES

FLSA STATUS: NON-EXEMPT

SCHEDULE: EVERY MONDAY TUESDAY AND FRIDAY. 8AM - 4:30PM. THIS IS A REQUIREMENT FOR THE POSITION.

JOB SUMMARY:
Responsible for providing administrative and clerical support to the Human Resources department such as maintaining up-to-date employee records assisting with recruitment and new hire onboarding processes.

JOB RELATIONSHIPS:
Responsible to: Human Resources Director
Positions Directly Supervised: None
Regular Contact with: All Franklin Medical Center personnel including independent contractors and outsourced staff. External contact with the public and outside facilities.

ESSENTIAL JOB FUNCTIONS:
  1. Answers screens and forwards in-coming calls.
  2. Records messages and forwards them to the proper person or department. Provides basic and accurate information in-person and via phone/email.
  3. Performs basic customer service functions such as answering employee questions assisting applicants with the application process etc.
  4. Maintains strict confidentiality of all company and employee personnel information.
  5. Assists in recruiting efforts such as attending recruiting events posting job advertisements etc.
  6. Schedules employment interviews and ensures that calendar invites are sent to the applicable department Supervisor(s)/Director(s).
  7. Prepares and schedules new employee onboardings.
  8. Assists the Human Resources Director with employee new hire onboardings.
  9. Maintains active and terminated employee files by accurately filing and scanning.
  10. Assists with personnel licensure and certification verification.

NON-ESSENTIAL JOB FUNCTIONS:
  1. Assists the Human Resources Director with providing employees with clear and concise information regarding Human Resources policies and procedures.
  2. Assists with conducting random and periodic drug screens.
  3. Assists with ongoing educational activities.
  4. All other duties as assigned.


QUALIFICATIONS:

Education: High school diploma or equivalent.

Work Experience: Desired but not required. Two years of clerical experience preferred.

Required Knowledge Skills and Abilities:
  • Strong written and verbal communication skills
  • Ability to read and write effectively
  • Ability to multitask when completing several tasks at once
  • Strong organizational skills
  • Integrity and discretion when working with sensitive company and personnel information
  • Detailed oriented to properly maintain all Human Resources files and documents
  • Proficient with computers and Microsoft Office.

Physical Requirements:
  • Remain in a stationary position for long periods of time
  • Occasionally move about the office and facility campus to access file cabinets office machinery other departments etc.
  • Constantly position self to maintain files in file cabinets.
  • Constantly operates a computer and other office machinery such as computer printer
  • Ability to communicate information accurately so others will understand.
  • Ability to observe details at close range.
  • Frequently move boxes equipment etc. weighing up to 20 pounds across office for various needs.

OSHA EXPOSURE CATEGORY C:
Not at risk for exposure to bloodborne pathogens.
